User Acceptance Test Overview

The information below is intended to provide colleges guidance on performing a User Acceptance Test on the Hire to Payroll business process, starting with creating a job opening in the Talent Acquisition Management (TAM) module. Colleges not choosing to adopt TAM may skip this step in the User Acceptance Test and move to the next "start" point indicated on the high level flow diagram, HH.001.5 - Hire a New Employee. The 'Create a Job Opening' business process shown in the flow diagrams below is only part of what is needed to complete an end-to-end test of a full business cycle.  Coordination with other colleagues, such as those who manage benefit enrollment or process leave at your college in advance of commencing testing is key to success. In the same way that it doesn't take a single individual to operate the business of running a college it  will require coordination across departments to successfully test a business flow from beginning to end.

The HH.001 - Hire to Payroll test is considered complete when the job information, related time, leave and benefits are entered for the population of employees used in executing the test. The end result is employee data that will be ready and available for a payroll test. Actual execution of the payroll test is performed in a separate UAT HF.002 - Payroll to FIN (GL/AP).

Scenarios for HH.001.2.1 through HH.001.2.5 - Create a Job Opening & Enter Job Details:

  • Create a "standard" Job Opening for each class of employee (e.g. regular classified, cyclical classified, exempt, full-time faculty, student, hourly)
  • Create a "continuous" Job Opening (e.g. adjunct, part-time hourly)
  • Create a Job Opening driven by a position
  • Create a Job Opening driven by a job code

Scenarios for HH.001.2.6 - Approve a Job Opening:

  • Manage approvals for a Job Opening and insert additional approvers on an opening
  • Approve a Job Opening with a single approver and a Job Opening with multiple approvers

  • Resubmit a Job Opening

HH.001.2.1 - Create a Job Opening & Enter Job Details:

  • Error Condition: Start creating a job by using a position not available.
    • Expected Behavior: User is unable to start the process without a position that is open/available.

HH.001.2.3 - Add Qualifications to a Job Opening:

  • Error Condition: Enter the same degree twice.
    • Expected Behavior: User receives and error message indicating the duplicate entry.

HH.001.2.4 - Add Screening Criteria to a Job Opening:

  • Error Condition: Attempt to add screening points that total over 100 using point structure.
    • Expected Behavior: User receives and error message indicating the point total issue.

HH.001.2.5 - Add Job Posting Details:

  • Error Condition: Set the job posting open date after the job posting close date.
    • Expected Behavior: User receives and error message indicating the date ordering issue needs to be resolved.

HH.001.2.6 - Approve a Job Opening:

  • Error Condition: Add additional approvers to an approval in process as an approver.
    • Expected Behavior: User is unable to add approvers in the approval process while the process has initiated and the messaging indicates as such.
