Generating and Editing 1098-T

Purpose: Use this document as a reference for how to generate and edit 1098-T forms.
Audience: Student Financials Staff

This is the initial run-through of the 1098T generation process. If you have not set up your TIN number for the current year, do so before you generate the 1098-T form. Navigation: Setup SACR> Product Related> Student Financials> Taxes> 1098-T TIN Table

Generate 1098-T

1. Enter an existing Run Control ID or Click Add a New Value tab and create a new Run Control ID.

Find an Existing Value tab
  1. Enter the appropriate Federal TIN into the Federal TIN field or use the Look Up icon.
  2. Enter the appropriate year into the Calendar Year field or use the Look Up icon.
  3. Select the appropriate check box in the Bypass Validation Edits section. Please see Peoplebooks for what each Validation edit provides. http://docs.oracle.com/cd/E29376_01/hrcs90r5/eng/psbooks/lssf/book.htm
  4. When corrections are necessary, the Student Override check box may be selected.
  5. Enter the appropriate Student ID into the ID field or use the Look Up icon. The student's name will populate next to the Student ID.
  6. Click the Run button.

Updating Student TIN Request
  1. Enter an existing Run Control ID or Click Add a New Value tab and create a new Run Control ID.
  2. Select PS Query as the Selection Tool
  3. Enter QCS_SR_COMM_COMPL_1098UPD for the Query name.
  4. Click on the Edit Prompts button.
  5. Enter your school's institution and letter code.
  6. Enter your school's Federal TIN
  7. Enter the Calendar Year.
  8. Click Run.
Auditing 1098-T

For validating your 1098T prior to the sending them to students, stop after the Auditing process.  It creates a PDF to download and can be used to verify student information.

  1. Find an Existing Value or Add a New Value by entering the appropriate information into the Run Control ID field, then click the Search or Add button.
  2. Choose the appropriate option from the Report Mode drop down menu.
    1. Audit Only: Used to check the data manually before printing or creating a transmittal files
    2. Validate Only: Checks each applicable record to determine the validity of it's data. Select this to isolate those missing an SSN, name, or address in the system.
    3. Audit and Validate: The 1098-T Audit Report prints all applicable records and assigns a validation status to them.
  3. Choose the appropriate option from the Primary Sort drop down menu.
  4. Choose the appropriate option from the Print Selection drop down menu.
    1. All 1098-T's: Includes all types of 1098-T records
    2. Not Filed Corrected 1098-T's: Includes only those records that were included in a transmittal file and have the Correction box selected.
    3. Not Filed Original 1098-T's: Includes only those records that were not included in a transmittal file and do not have the Correction box selected.
    4. Not Printed Corrected: Includes only those records that have not printed and have the Correct box selected.
    5. Not Printed Originals: Includes only those records that have not printed and that do not have the Correction box selected.
  5. Choose the appropriate from the Secondary Sort drop down menu.
  6. Enter the appropriate number into the Federal TIN field or use the Look Up icon.
  7. Enter the year into the Calendar Year field or use the Look Up icon.
  8. When corrections are necessary, the Student Override check box may be selected.The ID field under the Student Override section will be enabled.
  9. Enter the appropriate Student ID number in the ID field or use the Look Up icon.
  10. Click the Run button.
1098 T Audit Report
Printing 1098-T

This will not print the information on the 1098T template, but it will make the necessary corrections for the student to access their corrected form via self-service.

  1. Find an Existing Value or Add a New Value by entering the appropriate information into the Run Control ID field, then click the Search or Add button.
  2. Choose "Print Only" from the Media drop down menu.
  3. Choose "Correction" from the Filing Status drop down menu.
  4. When corrections are necessary, the Student Override check box may be selected. This will enable the ID field in the Student Override section.
  5. Enter the appropriate Student ID in the ID field or use the Look Up icon.
  6. Click the Run button.
  7. See the Sending 1098-T Transmittal File to IRS QRG for the final process to send the IRS the information.
1098 T Print
Editing 1098 - T

Once you have saved the edits on the 1098-T, proceed with the Generate Process with the Student Override box selected.  Once the generate process has run to success, proceed to the Audit process, using the Student Override box.

  1. Enter appropriate information into ID, Federal TIN, Calendar Year or use the Look Up icon, then click the Search button.
  2. Click the Override Data button to create a new row.
  3. Select the Correction check box under the 1098-T Status.
  4. Ensure Pending Validation is in the field from the Validation Status drop down menu.
  5. Click the Save button.
