Entering Service Indicator Data 11d

Purpose: Use this document as a reference for entering service indicator data in ctcLink.

Audience: College Staff responsible for maintaining student information.

Service indicators can be assigned to student accounts to restrict enrollment or other services until fines are paid or other required actions are taken.

Navigation:  Main Menu → Campus Community → Service Indicators → Person → Manage Service Indicators

Adding/Updating a Service Indicator

  1. On the Manage Service Indicators page, enter the relevant search criteria and click the Search button.

  1. If necessary, click the appropriate student in the list of search results.

  1. Display settings can be controlled at the top of the page.
    1. Effect: Select ALL, Positive or Negative to view by service indicator type.
    2. Institution: Select Institution from the drop down.
  2. On the Manage Service Indicators page, click the Add Service Indicator link.

  1. On the Add Service Indicator page, enter the details of the service indicator:
    1. Institution: Enter Institution code.
    2. Service Indicator Code: Enter or Look .
    3. Service Indicator ReasonCode: Enter or Look Up.
  2. In the Effective Period section:
    1. Start Term: Enter or Look Up.
    2. Start Date: Enter or Look Up.
    3. End Term: Enter or Look Up. (Optional)
    4. End Date: Enter or Look Up. (Optional)
  3. In the Assignment Details section:
    1. Department ID: This will default from the Service Indicator set-up table.
    2. Reference: This will default from the Service Indicator set-up table.
    3. Amount: User can enter a specific amount if the service indicator is connected to a fee the student is required to pay. (Optional)
  4. In the Contact Information section:
    1. Contact ID: This will link to the user information that displays for the student, if there is a specific staff member the student should contact.
    2. Contact Person: Allows user to enter a name for a student to contact that may or may not have an associated staff ID in the system.
    3. Placed Person ID: This default to the person who added the service indicator code to the student.
  5. Comments section:
    1. Enter comments about the service indicator for other staff to see.
Add Service Indicator
  1. Click the Apply button to activate the service indicator.

Please note: to view comments after the service indicator has been released you would need to use the Audit Service Indicators page.

Main Menu → Campus Community → Service Indicators → Person → Audit Service Indicators

To view or edit a Service Indicator for the same student:

  1. On the Manage Service Indicators page, select the Institution from the dropdown menu and click the Refresh link to the right of the menu.
  2. Click the code of the service indicator you wish to view or edit.

  1. After making any changes, click the OK button to save the changes or click the Apply button to activate the service indicator and remain on the same page.

To release a Service Indicator:

  1. On the Manage Service Indicators page, select the Institution from the dropdown menu and click the Refresh link to the right of the menu.
  2. Click the code of the service indicator to release.

  1. Click the Release button near the top right corner of the page.
Edit Servcie Indicator
  1. Click the OK button. Repeat steps 12 - 13 to confirm release.
