Setting Up Event Templates 11i

Purpose: Use this document as a reference for setting up event templates in ctcLink.

Audience: College Staff responsible for maintaining event information.

Navigation:  Main Menu → Campus Community → Campus Event Planning → Set Up Events → Event Template

  1. On the Event Template page, enter relevant search criteria to find appropriate Event Type.
  2. Click the Search button.
  3. Select the Event Type from the search results list.
Find an Existing Value tab
  1. On the Meeting Template tab, enter or edit the information for the first meeting that is part of this event.
    1. To add another meeting, click the (+) to the right of the entry and enter the information.
    2. To remove a meeting, click the (-) to the right of the entry.

  1. Click the Meeting Resource Template tab.
  2. Enter the information about required resources for the meeting.
    1. Click the magnifying glass next to the Resource Code and select the appropriate resource.
    2. Enter the quantity in Number of Resources.
    3. Enter a Comment if required.

  1. Continue adding resources by adding new rows. Click the (+) to the right of the resource code and repeat steps a. through c.
  2. Click the Meeting Staff Template tab.
  3. Enter information about required staff for the meeting.
    1. Click the magnifying glass next to the Staff Code and select the appropriate resource.
    2. Enter the quantity in Nbr Staff Required.
    3. Enter a Comment if required.

  1. Continue adding required staff by adding new rows. Click the (+) to the right of the staff code and repeat steps a. through c.
  2. Click the Save button.

Note: Much of this information may already be populated. This process updates existing templates.
