Accommodation Letter Template 11f
Purpose: Use the document as a reference for how to create an Accommodation Letter Template in ctcLink.
Audience: Disability Staff
The process must be run during a term (On or after the first day of a term, up to the last day of a term).
Creating the Accommodation Letter Template
Navigate: Main Menu > Campus Community> Communications> Run 3C Engine
- Click Add a New Value tab.
- Enter the appropriate information into Run Control ID field.
- Click the Add button.

- Click Population Selection checkbox in "Process 3Cs" section.
- Click No in "Process Joint Records" section.
- Enter the appropriate information into Academic Institution field.
- Enter the appropriate information into Administrative Function field.
- Enter the appropriate information into Event ID field.
- Click on the Selection Tool and select appropriate value from the list item.
- Enter the appropriate information into Query Name field.
- Click on Edit Prompts link.
- Enter the appropriate information into Institution and Career fields.
- Click the OK button.
Depending upon the query selected, the fields on the Query Prompts page may vary which needs to be entered.
- Click Manage Duplicate Assignment tab.
- Ensure the Check Duplicate Communication checkbox is unchecked.
- Ensure the Check Duplicate Checklist checkbox is unchecked.
- Click the Run button.

- Select the 3C ENGINE checkbox from the Process List on the Process Scheduler Request page.
- Click the OK button.

- Click on Process Monitor link.
- Locate Process Instance number.

- Click REFRESH button until Run Status is "Success" and Distribution Status is "Posted".

- Once the process is Posted and has a run status as Success, run the Communication Generation Process.
Run the Communication Generation Process
Navigation: Main Menu > Campus Community >Communication >Communication Generation
- Click Add a New Value tab.
- Enter the appropriate information into Run Control ID field.
- Click the Add button.

- Select the appropriate value from the ID Selection list.
- Select "PS Query" from the Selection Tool field.
- Enter query CTC_SR_POPSEL_COMMGEN in the Query Name field.
- Click the Edit Prompts link.
- Enter the appropriate information into the Letter field of the Query Prompts page.
- Click the OK button.
- Enter the appropriate information into Letter Code field.
- Select a appropriate value from the Method list item.

- Click on the Process Parameters tab.
- Select a appropriate value from the Address list item.
- Select a appropriate value from the Address Name list item.
- Select a appropriate value from the Salutation list item.
- Select a appropriate value from the Extra Name list item.
- Select a appropriate value from the Org Recipient list item.
- Select a appropriate value from the Contact Name list item.

- Click on the Email Parameters tab.
- Enter appropriate information into From field.
- Enter a appropriate information into Subject field.
- Click the RUN button.

- Click on Process Monitor link.
- Locate Process Instance number.
- Click REFRESH button until Run Status is "Success" and Distribution Status is "Posted".
- Click on the Details link
- Click on the View Log/Trace link.
- View the log file and validate the data.

TIP: Emails can be viewed from Communication Summary.
View Generated Communication
Navigation: Main Menu > Campus Community > Communications > Person Communications > Communication Management
- Enter appropriate information into the ID field.
- Click the Search button.

- The Person Communication page is displayed. You can click on the View Generated Communication link to view the communication.
- You have successfully run the Accommodation Letter Report.
