OLT Rows (Over the Limit)

Purpose:  Use this document to go through the process to release the OLT transaction on the Limit Details page, so the system can convert the OLT row back to a BIL; to be sent to billing and booked to revenue.

Audience:  Finance/Billing

  • NOTE:  The OLT transaction rows will not be billed nor recognized as revenue.
  • The over-the-limit rows are excluded from billing and revenue processing until you release the OLT transaction or increase the limit and rerun the Limits process.
  • Once you release the OLT transaction on the Limit Details page, the system converts the OLT row back to a BIL so it can be sent to billing and booked to revenue the next time that the billing and revenue processes are run.

Contract Amendment

The Contract needs to have the billing limit increased to reflect the proper billing limit.  This needs to be done through a contract amendment.  

 

Navigation:  Customer Contracts > Create and Amend > General Information

  1. Enter Business Unit and Contract that you need to amend.

  1. Select on the Amend Contract button.

  1. Select the Amendment Type.
  2. Select Save.
  3. Select the Details hyperlink.

  1. Enter billing adjustment amount.
  2. Enter New Billing Limit.
  3. Select the Recalculate button.

  1. Notice that the Allocation is now marked as Complete.
  2. Select Save.
  3. Return to Amendment Details hyperlink.

  1. Change the Amendment Status to Ready and select the Process Amendment button.

You will now notice that the Amendment Status is Complete.

You can now return to the General Information and see that your amendment is now complete.

  1. Select the dollar amount hyperlink.

  1. You will then need to select and release the OLT row so it can be re-priced.

Releasing OLT Rows

Navigation:  Customer Contracts > Create and Amend > General Information

  1. Select the Lines tab.

  1. Click on the Details tab, then click Contract Terms hyperlink.

  1. Click the Review Limits hyperlink.

  1. Select Search.

  1. Click Search.

  1. You will then need to select and release the OLT row so it can be re-priced.

  1. The last thing that needs to be done is that the Pricing Process needs to be run to revert the rows from OLT to BIL.

Pricing Cost Collection Process

Navigation:  Project Costing > Create and Amend > General Information

Find an Existing Value tab
  1. Run the process and then you will see the OLT rows that you released are now billable.
