Create a New Cashier Office 27L

Purpose: Use this document as a reference for how to create a new cashier office in ctcLink.

Audience: Student Financials Supervisor, Bursar

Setup a New Merchant ID

Navigation:  Setup SACR > Common Definitions > Self Service > Student Financials > SF Merchants

  1. Select Add a New Value tab. Enter the new Merchant ID name. This field is 12 characters long. Click Add.
  2. Enter the Description, Process Option, and Payment Merchant.
  3. Verify the following are check marked:
    1. Hosted Payment Provider
    2. Real-Time Authorization
    3. Real-Time Capture

The corresponding Payment Merchant must be created prior to the configuration of the SF Merchant ID.

  1. Click the Save button.

Setup a new Cashiering Office

Navigation:  Setup SACR > Product Related > Student Financials > Cashiering > Cashiering Offices

  1. Click the Add a New Value tab. Enter your Business Unit and the new Cashier’s Office. This field is limited to 6 characters. Use a short description for this naming convention. Click the Add button.

  1. Enter the Description, Short Description and Long Description.
  2. Select the Campus and Location from the lookup options.
  3. Base Currency should be set to USD.
  4. Select Cashier for Balance By and CASH for Change Due Tender.
  5. Select BI Pub from the dropdown for Print Product.
  6. Leave the GL Interface Required box unselected if the GL is not required to be run before closing the cashier's office.  
  7. Click Over GL Entry link to enter chartfield strings for over amounts.
  8. Click Short GL Entry link to enter chartfield strings for short amounts.
  9. Check mark Posted Close Required box.

  1. Select Transaction Setup tab.
  2. Select the newly created Merchant ID.
  3. Select Student Financials Data from the drop down list for Direct Reports.
  4. Select No posting delay from the drop down list for Posting.
  5. Select C for the Group Type.
  6. Select 00001 for the Origin ID.
  7. Click the Save button.

Assigning a Register to the new Cashier's Office

Navigation:  Setup SACR > Product Related > Student Financials > Cashiering > Valid Registers

  1. Select your Business Unit. Click Search.
  2. Select the new Cashier Office created above.
  3. Enter the valid Register in the Register field.
  4. Check mark Student Payment, Corporate Payment and Department Receipt.
  5. Click the Save button.

Assigning Cashiers to the new Cashier's Office

Navigation:  Setup SACR > Product Related > Student Financials > Cashiering  > Valid Cashiers

  1. Select Add a New Value. Enter the Business Unit, the Cashier’s Office and the Cashier’s EMPLID.
  2. Click the Add button.

  1. Select Student Payment, Corporate Payment, Department Receipt and CashCheck under Print Receipt Automatically field.
  2. Enter the Valid Cash Register this cashier will use.
  3. Click the Save button.

Note: Once the Cashiers are assigned to the new office, contact your College Security Administrators to assign cashiers Student Financials Row Level Security and to run the Set Security Process. This will allow the cashiers to see the new office in their dropdown list.
