Working Collection Items 27s

Purpose: Use this document as a reference for how to work and update student collection items in ctcLink.

Audience: All Student Financials Staff

Collection Efforts

Navigation:  Student Financials > Collections > Collection Effort > Begin Customer Collection

Use the Demographic Information page to view demographic information and collection items for a student.

  1. Enter the Business Unit and click Search.
  2. Enter the ID and Reason In.
  3. If a student’s record does not have a collection letter template associated with it, the Dunning Letter Info link appears.  Click the link to access the Collections Dunning Letter page to select a template.   Note:  This functionality is not implemented for ctcLink.
  4. Click the Get Credit History link to access the Credit History page.
Demographic Information tab
  1. Click the Collection Information tab to record collection steps and follow-up actions for a collection items.
  2. Click the (+) plus button to add additional collection activity. Notice the rows are time stamped with when they were created.
  3. Enter the Follow Up Action reason.
  4. Enter the User ID of the collector who worked this item.
  5. Enter the Next Review Date as needed.  This is an optional field.
  6. Enter any Comments.
  7. Click Save.
Collection Information
Updating Customer Collection

Navigation:  Student Financials > Collections > Collection Effort > Update Customer Collection

The Updating Collections page is the same page as the Begin Customer Collections page.  The only difference is the demographic Information tab is view only and reason in is not available for entry .

  1. Enter the Business Unit and the EMPLID.
  2. Click Search.
  3. Click the Collection Information tab to add or update any additional notes related to the student's account.
  4. Click Save.


Viewing Customer Collection Data

Navigation:  Student Financials > Collections > Collection Effort > View Customer Collection Data

View collection activity for a student by collector queue, enabling you to view what is currently in a collector's queue.

  1. Enter the Business Unit and ID.
  2. Click Search.
  3. This page lets you see how many collection items the student has and when those items will be next reviewed.
  4. Click on the Collection ID to view the collection information detail.
