Deleting a Combo Code - 03

Purpose:  Use this document to delete a combo code(s) which is erroneous and has never been used within ctcLink system.

Audience: Finance/HR Core Staff

Overview:  Combination codes are used in payroll to improve the accuracy and reduce the time needed for entering chartfield strings associated with payroll.  Once a combination code has been used it should never be deleted.  The purpose of the CEMLI to delete a combo code is to remove errors; it is NOT to be used for inactivating a combo code once used.

Note:  “Deleting Combo Codes” has its own role CTC_COMBO_CODE_DELETE .  Because it is a powerful tool it should be limited in access.  In order to delete combo codes the user of this QRG will also need to have the worksheet template.

Navigation: Main Menu> Payroll for North America> CTC Custom> CTC Processes> Combination Code Delete

  1. Create a new Run Control ID or use an existing ID.
  2. Select Search.
Find an Existing Value, Add a New Value tab
  1. Enter three digit Company code.
  1. Choose the appropriate file to upload (this is the template containing the combo code to delete  it must be a CSV file) by clicking on the file icon.
  2. Click on “Choose File”choose the file, and then click “Upload”.
  3. Once the correct file is chosen it will appear in under COA Load File.  

Note: if there is already a file defaulted you may need to click the garbage can in order to refresh the screen and choose a file.

  1. Select Run.
  2. Select Combination Code Delete on the Process Scheduler Request page if it is not already selected. The Type and Format should default to Web and TXT respectively.
  3. Select OK.

  1. Review process monitor for completion by clicking on the Process Monitor hyperlink after pressing Run and OK.
  2. The process monitor will show it has completed to success when Run Status says “Success” and Distribution Status says “Posted”.

The process in now completed.

Note: You may wish to review your work by looking at the report Pay760.  This report lists all active and inactive combo codes; the one(s) just deleted should NOT be on this list.

Navigation:  Main Menu > Set Up HCM > Common Definitions > Chartfield Configuration > Combination Code Report

  1. Enter new run control or use one already created.
  2. Select Search.
  1. Select Run.
  1. Select Combination Code Report.  Default Type and Format should be Web and PDF respectively. If they are not, they will need to be changed.
  2. Select OK.
  3. Review the process monitor for completion by selecting the hyperlink Process Monitor.
  1. When the Run Status says Success and Distribution Status is Posted, click on the hyperlink Go back to Combination Code Report

  1. Select the Report Manager hyperlink.
  1. Select the Administration tab.
  2. Select the Combination Code Report hyperlink (under the Description column).

When the report is accessed, research through normal pdf searches such as Ctrl+F and enter the deleted combo code number.

Keeping in mind, since it was deleted, your search should NOT bring back this combo code. If it does, the two most common reasons would be that the combo code is or has been used (thus it cannot the deleted), or your file was not a csv file.
