Entering Dependent Data

Purpose:  Use this document as a reference to enter and identify all of the dependents or beneficiaries of an employee.

Audience:  HR Administrators and HR Specialists

Navigation:  Workforce Administration > Global Assignments > Track Assignment > Dependent Data

Entering Dependent Data

  1. Enter the desired Empl ID into the Empl ID field.
  2. Select the Search button.
  3. Use the Name page to identify the names of all the dependents or beneficiaries of an employee.
  4. Use the Dependent/Beneficiaries scroll area to enter or view the difference dependents or beneficiaries associated with this employee.  
  5. A user will need to select the Edit Name button to enter the name of the dependent - Select the Edit Name button.
  6. Record the dependent's name on the Edit Name field.
  7. Select the First Name field and enter the desired information into the First Name field.
  8. Select the Last Name field and enter the desired information into the Last Name field.
  9. Select the Save field.

  1. Select the Address tab.
  2. Enter the address and contact information on the Address page.
  3. If the dependent shares the employee's address, select the Same Address as Employee check box.  If the address is different, select the Edit Address button to enter the address.  
  4. If the dependent shares the employee's phone, select the Same Phone as Employee check box.  If the phone is different, enter the phone number in the Phone field.  
  1. Select the Personal Profile tab - Use the Personal Profile page to enter details about the person, such as birthday, relationship to the employee, and gender.
  2. Enter the desired information into the Date of Birth field.  Enter a valid value.
  3. Select the Effective Date field, and enter the effective date.
  4. Select the Relationship to an Employee.
  5. Select the Child, or appropriate list item.
  6. Select the Gender, or appropriate list item
  7. Select the appropriate Marital Status list item.
  8. Select the Female, or appropriate list item.
  9. If appropriate, select the Student option.  
  10. Select the Save button.

Tracking Assignment with Dependent

Navigation:  Workforce Administration > Global Assignments > Track Assignment > Dependent Accompanying

  1. To record that this dependent will be traveling with the employee on assignment, begin navigating to the Dependent Accompanying page.
  2. Select the Track Assignment link.
  3. Select the Dependent Accompanying menu.
  4. Use the Dependent Accompanying page to identify dependents traveling with this employee on assignment.
  5. Enter the desired information into the Effective Date field.
  6. When you move out of the Effective Date field, the page populated the Dependents at Host fields based on dependent data as of the effective date.
  7. Select the Dependent ID field.
  8. The page automatically enters the dependents for the employee and calculated family size.  If the At Host check box is selected for a person, the number will be included in the Total at Host and Immediate at Host fields.  Immediate at Host refers to immediate family members.  If a nanny were accompanying the family, the number would not be added to this value.
  9. A user can delete or add dependents, if necessary.  However, a user can only add dependents that have been entered in the Dependent Data pages.
  10. Select the Save button.
