Viewing Absence Balances and History - 18g

Purpose: Use this document as a reference for how to view current leave balances and the history of absence requests in PeopleSoft HR.

Audience: All Employees

Review Absence Balances

Navigation: Main Menu > Self Service > Time Reporting > View Time > Absence Balances

  1. Navigate to the Absence Balances Menu
    • If the employee has more than one active job record, then the correct job must be selected prior to viewing the balance
  2. Review balance totals
    • Only leave types that the pay group that the employee is and has been associated with will be displayed
    • If the employee needs more information about the leave balances or “Entitlements” they should contact their manager or HR
View Current Balances

Review Absence Request History

Navigation: Main Menu > Self Service > Time Reporting > View Time > Absence Request History

  1. Navigate to the Absence Request History menu
    • If the employee has more than one active job record, then the correct job must be selected prior to viewing the history
  2. Make sure the From and Through dates capture the period of time of interest
    • If the dates need to be changed, alter them using the yellow calendar buttons to the right of the date and click Refresh
  3. If the employee has saved leave, click the Edit button to finish the leave entry (see Absence Request QRG)
    • Once the edit button has been clicked the employee can change leave details and then either Cancel the request or Submit the request
    • Cancelled leave entries will still show up in Absence Request History, but you can always revisit them to Save or Submit by clicking the active Edit button
    • Leave that is Denied by supervisors will show up in Absence Request History
    • Leave that is Pushed Back by supervisors will be accessible in Absence Request History, and will need to be edited and resubmitted for approval
    • Leave that is Saved but not Submitted will not be approved or processed
    • Submitted leave can only be altered or cancelled by the manager or the HR leave administrator
