Viewing Employee Absence Balances and Requesting an Employee Absence - 18d

Purpose: Use this document as a reference for how to view current leave balances for employees and make absence requests on behalf of employees in PeopleSoft HR.

Audience: Managers

Navigation: Main Menu > Manager Self Service > Time Management > View Time > Absence Request History

Viewing Employee Absence History

  1. Navigate to the Absence Request History menu item in Manager Self Service.
  2. Make sure the As Of Date and manager Job are correctly selected.
  3. Use the Select button to choose the employee the manager wishes to view.
  1. Make sure the From and Through dates capture the period of time the manager is interested in for this employee.
    • If the dates need to be changed, alter them using the yellow calendar buttons to the right of the date and click Refresh.
  2. Click on the link below Absence Name to view the Request Details for that absence.
  3. This page displays all absence requests for the employee. Absence requests entered by the employee contain a link in the Absence Name column.

Navigation: Main Menu > Manager Self Service > Time Management > View Time > Absence Balances

  1. Navigate to the Absence Balances menu item in Manager Self Service.
  2. Make sure the As Of Date and manager Job are correctly selected.
  3. Use the Select button to choose the employee the manager wishes to view.

  1. All current balance information will be displayed to the manager for that employee in that specific job.

Requesting an Employee Absence

Navigation: Main Menu > Manager Self Service > Time Management > Report Time > Absence Request

  1. Navigate to the Absence Request menu item in Manager Self Service.
  2. Make sure the As Of Date and manager Job are correctly selected.
  3. Use the Select button to choose the employee for whom the manager wishes to submit an absence request.

Note that the manager must come to Manager Self Service because if the manager goes mistakenly to Self Service they are in fact submitting their own absence request.

  1. Use the Absence Request QRG to fully fill out the absence request.
  2. Click the Submit button to create the absence request.
  3. The absence request, while created by the manager, will still also need to be approved by the manager as part of the normal workflow.
  4. Select Yes in the Submit Confirmation screen.

8. Select OK in Approve Confirmation screen.

9. The System Displays the Request Details.

  • The Work Flow shows whether the request is entered as an Employee or as a Manager.
  • Show the Absence Request Status - If the absence was requested by the Manager as an employee, then in the Request History section the employee's name will be displayed in the Name field.
  • The approval path map and details shows the approver and status of the approval.
