Delegating Absence and Time Approval 18a

Purpose: Use this document as a reference for how to delegate absence and time approval power in PeopleSoft HR.

Audience: Managers

Creating a Delegation

Navigation: Main Menu > Self Service > Manage Delegation

  1. Navigate to the Manage Delegation menu item.
  2. Click the link Create Delegation Request.

  1. If the employee has more than one job, they must select the job for which they wish to delegate responsibilities.

  1. Enter the From Date and To Date for which the delegation will span.
    • If no To Date is entered the delegation in the system will be open ended and considered indefinite.
    • Open ended delegations, once accepted, are immediately in effect (PeopleCode takes care of it).  Duration delegations take overnight (a scheduled process needs to run).
  2. Click Next.

  1. The Select Transactions screen allows the manager to specify which responsibilities in the system they would like to delegate. Note: As typically many of the responsibilities are complementary, the recommendation is to Select All.
  2. Click Next.

  1. Select the proxy who will gain the delegation authority in the system by clicking the radio button next to their name.
    • When using delegation the following are considered valid candidates for proxies in the system: any direct reports, everyone who reports to the same manager as the employee, the manager of the employee.
    • Typically there will be a recommendation from HR for who the proxy should be for absence and time approval.
  2. Click Next.

  2. If everything looks in order, click Submit.

Accepting a Delegation

Navigation: Main Menu > Self Service > Manage Delegation

  1. Navigate to the Manage Delegation menu item and click on the link Review My Delegated Authorities.

  1. The Show Requests by Status drop down will allow you to view the following:
    • Submitted: (default)  shows all delegations awaiting acceptance by the proxy
    • Accepted:  all accepted delegations
    • Ended:  past delegations that are no longer active
    • Rejected:  past delegations rejected by the proxy
    • Revoked:  past delegations taken away from the proxy by an administrator
  2. Click Refresh if a different Status is chosen than the default of Submitted.
  3. Click Select All, or individually select the responsibilities that the proxy is accepting from the delegator.
  4. Click the blue circle under Details to learn more about the delegation request.
  5. Click Accept or Reject so the system can process the request.
  6. Based on the decision to Accept or Reject the user will see a confirmation screen, click OK.
    • The delegator and proxy both will see the status change that corresponds with the decision by visiting the Review My Delegated Authorities or Review My Proxies link in Manage Delegation
    • All history will be maintained in the links Review My Delegated Authorities/Review My Proxies
