9.2 Define a Dynamic Condition (Milestone) for Academic Advisement

Purpose: Use this document as reference for how to define a dynamic condition (milestone) for Academic Advisement in ctcLink.

Audience: Academic Advisement Report Builders.

You must have at least one of these local college managed security roles:

  • ZC AA ADVISEMENT REQUIRE
  • ZD AA ADVISEMENT REQUIRE
  • ZD AA Super User
  • ZZ AA ADVISEMENT REQUIRE

You must also set these SACR Security permissions:

Milestones can be used to track student completion of non-course degree requirements. In order for an Academic Advisement Report to call for a Milestone, you must first use these steps to Define a Dynamic Condition.

Define a Dynamic Condition (Milestone) for Academic Advisement

Navigation:  NavBar > Navigator > Academic Advisement > Academic Requirements > Define Dynamic Condition

Your user defaults for Academic Institution must be set prior to completing these steps. Please refer to Setting User Defaults QRG.

  1. The Define Dynamic Condition search page displays.
  2. Select the Add a New Value tab.

The Condition Specification number auto-populates to 000000. This value will update once the Dynamic Condition is saved. Accept the default value.

  2. Complete the Condition Details section.
    1. Effective Date: Use 01/01/1901
    2. Status: Leave as the defaulted Active.
    3. Description: Begin with your college code, then input a desired description that will be easy to identify during Academic Advisement Report setup.  
    4. Short Description (10 char. max): This field auto-populates based on the Description entered. Accept the value or input a desired short description (10 char. max)
    5. Long Description (254 char. max): This field is required but is informational only. Input a desired long description.
    6. Academic Institution: Input your college code.
    7. Requirement Usage: Leave as the defaulted ADV – Academic Advisement
    8. Connector Type: Leave as the defaulted AND.
  1. Complete the Condition Lines section.
    1. Condition Line Sequence: Leave the default of 1.  If multiple Condition Lines are added allow the system to auto-increment the number.
    2. Condition Process Type: Select User Programmable Condition.
    3. Condition Process Identifier: Select 0001 – Milestone Check

Note: The Condition Line Details section only appears after completing Step 6.

  1. Complete the Condition Line Details section.
    1. Academic Institution: Input your college code.
    2. Milestone: Select the applicable Milestone
    3. Milestone Complete: Select the desired Milestone status. If left blank the Status of the Milestone Complete is not considered when the degree audit process evaluates this condition for a student.  Use the value of Completed to check against Milestones on a Student Milestone record that have a Milestone Complete status of Complete.  The same logic applies when using the value of In Progress or Not Completed.
    4. Milestone Level: If applicable, select the applicable Milestone Level.  
    5. Milestone Title: This field automatically populates based on the Milestone selected. Do not modify this value.
  2. Select Save.

Note: You can now use this Milestone in the set up of an Academic Requirement for advising reports.  The Milestones are used in Academic Requirement Groups and Academic Requirements groups using either Pre-Conditions or Condition Requirement Lines.

  1. Process complete.

Copying a Dynamic Condition (Milestone) to a new Dynamic Condition

Navigation:  NavBar > Navigator > Academic Advisement > Academic Requirements > Define Dynamic Condition

  1. Select the Add a New Value tab.
  2. Select Add.

When using the Copy feature on the Define Dynamic Condition table be sure that the Academic Institution specified on the Condition Details matches the Institution on the Dynamic Condition you will be copying from.

  1. The Define Dynamic Condition page displays.
  2. Select the Copy button.
  1. The Copy Specification page is displayed.
  2. Select the Select Condition field to search for and select the Condition you want to copy the pre-existing Dynamic Condition from.

  1. The Look Up Selection Condition page is displayed.
  2. Set the Requirement Usage value to ADV.
  3. Select the Look Up button and the available ADV Requirement Usage Conditions are displayed.
  4. Select a value from the Search Results section of the page, in this example Condition Specification 000270.

  1. The Copy Specification page is displayed:
  2. Select the desired Condition to Copy value.   Options available are:
    1. Copy last record: This will copy the last row from the condition you are copying from and using the current system effective date in the Effective Date field.
    2. Copy all records: This will copy all the effective dated rows from the condition you are copying from and use the effective dates from the copied condition in the Effective Date field.
  3. Select the OK button.

  1. The Define Dynamic Condition page is displayed.
  2. The configuration from the Selection Condition copied from, in this example it is Select Condition 000270, has been copied to the new Dynamic Condition being added.  The new Condition Specification number will display as 000000 until the record is Saved.

  1. Make any necessary changes to the new Dynamic Condition.  
    1. In this example the Dynamic Condition being updated is so that students who have either the BASM-MNFC or the BASM-ENTR milestone would be considered when the condition is used as part of a degree audit assessment.  The changes made are the following:
      1. Description changed to WA172 BASM.
      2. Long Description changed to BAS-Applied Management Emphasis.
      3. Connector Type changed to OR.
      4. Added a new Condition Line Detail to the condition by using the Add a new row button.  The new detail line row captures an additional milestone option of BASM-ENTR.
  2. Select the Save button.
Changes to copied dynamic conditiion
  1. The Condition Specification number is changed to the next available number, in this case 000273, and is no longer displayed as 00000.

  1. Process Complete.
