Communications - Resetting Generated Communications

Purpose: This document is a reference for running the Reset Communication process in ctcLink.

Audience: College staff responsible for running the Communication Generation process.

You must have at least one of these local college-managed security roles:

  • ZC CC 3Cs User
  • ZD CC 3Cs User
  • ZZ CC 3Cs User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must set the following SACR Security permissions:

It is possible to reset the records to be processed if an error occurs during the Communication Generation process. This is so that communications can be picked up after resolving the error.

For example, suppose you mistakenly used the wrong template or selected the wrong IDs to process. In that case, you must manually navigate to each processed ID's Person or Organization Communication Management component, clear the Communication Completed checkbox, or use the Reset Communications page to reset the communication. The process of resetting removes the information from the communication record, updates the processing tables, and deletes it from the XML storage tables.  

The process updates the following items for processed IDs.

  • Communication Generation Date field.
  • Communication Completed option.
  • Date Activity Completed field.
  • Unsuccessful Outcome option with its Reason field.
  • Language, Method, and Process Used fields.
  • View the Generated Communication link (only for the Communication Generation process and if setup allows it).

Review the log files and resolve errors before performing the Reset Communication process or rerunning Communication Generation.

Reset Communications Process

Navigation: Campus Community > Communications > Reset Communication

You will need the Process Instance number from your failed Communication Generation run control process to run the Reset Communication process.

  1. The Reset Communication search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
  3. NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_Reset_Communication.
  4. The Reset Communication page displays.
  5. Enter Process Instance of the failed Communication Generation process.
  6. Select ID Selection = "All Person IDs." (All IDs are demonstrated in the video.)
  7. Select Run. Visit the QRG Process Scheduler/Process Monitor for more information.
  8. You can now re-run the Communication Generation process. For more information, visit the QRG Communications - Assign and Send PeopleSoft Communications (3C Engine and Communication Generation).
  9. Process complete.
