Assigning a Checklist (Financial Aid)

Purpose: Use this document as a reference for how to assign a checklist in ctcLink.

Audience: FA Counselor/Technician.

SBCTC FA Support requests that all colleges submit their checklist information to us in a ticket before proceeding with any new Checklist set up to ensure that the new checklists adhere to our designed processes.  This request will help us to support your business needs. FA Support has designed global processes around the naming convention for checklists, including but not limited to query development, training, JobSets, etc. If colleges move forward with creating checklists outside of the naming conventions, SBCTC FA Support cannot support those checklists or businesses processes.

You must have at least one of these local college managed security roles:

  • ZC CC 3Cs User
  • ZD CC 3Cs User
  • ZZ CC 3Cs User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must also set the following SACR Security permissions:

Assigning a Checklist

Navigation:  Campus Community > Checklists > Person Checklists > Checklist Management - Person

  1. The Checklist Management – Person search page displays.
  2. Select the Add a New Value tab.
  3. The Add a New Value tab displays.
  4. Enter or search for the Student ID.
  5. Select the Add button.
  6. The Checklist Management - Student page displays.
  7. Under the Checklist Management 1 tab, enter FINA in the Administrative Function field.  The Variable Data button will open.
  8. Select the correct Academic Institution if the default was not correct.  
  9. Select the appropriate Checklist Code. The Due Date and Status fields will automatically populate.
  10. Add Variable Data.
  11. Select the Variable Data button.  The Variable Data dialog box displays.
  12. Enter Aid Year -- in this example, the 2023/2024 Aid Year is used.
  13. Select the OK button.
  14. Select the Save button to save your work.

You must have at least one of these local college managed security roles:

  • ZD FA Director
  • ZD FA Student Aid Info
  • ZZ FA Student Aid Info

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

    • Navigation:  Financial Aid > View Financial Aid Status

Tip: A Checklist can also be added from various Financial Aid summary pages by selecting the checklist Speed Key. It takes a user directly to the Checklist Management Entry page.
