9.2 Define Milestone for Requisites

Purpose: Use this document as a reference for how to define a milestone for requisites in ctcLink.

Audience: Registration Staff.

You must have at least one of these local college managed security roles:

  • ZC CM Enrollment
  • ZD CM Enrollment
  • ZZ CM Local Configuration

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

If your Enrollment Requirement requires a specific status (e.g. completed), then only milestones in that status will meet the requirement.

  • If your Enrollment Requirement requires a specific status (e.g. completed), then only milestones in that status will meet the requirement. You can check whether a required status has been set up on the Define Requisite Conditions page. 
  • If you do not indicate a status requirement then a status of either In-Progress or Not Completed WILL meet the requirement. Interestingly, a status of Completed will NOT meet the requirement.
  • If you want all milestones in any status to meet the requirement, you will need to build two rows, one with the status blank (this will recognize In-Progress and Not Completed) and another row with the status Complete. 
  • Most colleges simplify their enrollment requirement setup to recognize only complete and have staff select “complete” when entering a student milestone (or when the milestone is truly complete).
  • Additionally, Enrollment Requirements evaluate the student record based on what is true at the start of the term. When you assign a student a milestone intended to meet an enrollment requirement, the effective date is at least one day PRIOR to the Start Date of the enrollment term. If you don’t, the Enrollment Requirement will not recognize the milestone for the current enrollment term. 

This QRG illustrates two options to build a condition.

  • Option 1 Recognizes a Student Milestone with a status of Completed
  • Option 2 Recognizes a Student Milestone with any status
Define a Milestone for Requisites - Option 1

Navigation:  NavBar > Navigator > Curriculum Management > Enrollment Requirements > Define Requisite Conditions

Option 1 - Recognizes a Student Milestone with a status of Completed

  1. The Define Requisite Conditions search page displays.  It defaults to Find an Existing Value.
  2. Select Add a New Value.
  3. Condition Specification: Allow to default.
  4. Select Add.

  2. Condition Details section:
    1. Effective Date: Input the earliest date you want this Milestone to be used.
    2. Status: Must be 'Active' for the Milestone to be usable as a requirement.
    3. Description/Short Description/Long Description: enter meaningful descriptions.
    4. Academic Institution:  Input or Look Up.
    5. Connector Type: Select 'And' or 'Or.'
    6. Select the (+) in the Condition Details section to make effective dated changes to any of the conditions identified below.
In the Conditions Details section, enter information in the required fields identified by an asterisk
  1. Condition Lines section:
    1. Condition Line Sequence: Allow to default.
    2. Condition Process Type: Select 'User Programmable Condition'.
    3. Condition Process Identifier: Select '0001' (Milestone Check).
    4. Select the (+) in the Condition Lines section to include multiple conditions.

  1. Condition Line Details section:
    1. Academic Institution: Input or Look Up.
    2. Academic Career: Input or Look Up (Optional).
    3. Academic Program: Input or Look Up (Optional).
    4. Academic Plan: Input or Look Up (Optional).
    5. Milestone: Input or Look Up.
    6. Milestone Complete: Select Complete from the drop-down list.
    7. Milestone Level: Input or Look Up (Optional).
    8. Minimum Grade Points: Input (Optional).
    9. Milestone Title: Enter a descriptive title using local naming conventions.
    10. Select the (+) sign in the Condition Line Details section to add/define additional milestones.
Ensure that you select Completed from the Milestone COmplete drop-down list
  1. Select Save.
After entering the necessary information, select SAVE
  1. To assign a milestone to an Enrollment Requirement, select the Condition Code (see QRG 9.2 Creating Enrollment Requirements).
    1. Condition Code: Dynamic Condition
    2. Condition Data: Select the Condition Requirement created in the steps above
  2. Process complete.

  1. The Define Requisite Conditions search page displays.  It defaults to Find an Existing Value.

    10. Select the (+) sign in the Condition Line Details section to add/define additional milestones.
 Enter information in the COndition Line Details section
  1. In the Condition Lines section, select the [+] plus icon to add a new row.
  2. The Condition Line Sequence value will increment up by 1.
  3. Condition Process Type: Select 'User Programmable Condition.'
  4. Condition Process Identifier: Select '0001' (Milestone Check).
Add a row and notice the condition line sequence number incremented up by one.
  1. Condition Line Details section:
    1. Academic Institution: Input or Look Up.
    2. Academic Career: Input or Look Up (Optional).
    3. Academic Program: Input or Look Up (Optional).
    4. Academic Plan: Input or Look Up (Optional).
    5. Milestone: Input or Look Up.
    6. Milestone Complete: Leave field blank; this will allow the system to recognize a Student Milestone with any status.
    7. Milestone Level: Input or Look Up (Optional).
    8. Minimum Grade Points: Input (Optional).
    9. Milestone Title: Enter a descriptive title using local naming conventions.
    10. Select the (+) sign in the Condition Line Details section to add/define additional milestones.
  2. Select Save.
Leave the Milstone Complete field blank
  1. To assign a milestone to an Enrollment Requirement, select the Condition Code (see QRG 9.2 Creating Enrollment Requirements).
    1. Condition Code: Dynamic Condition
    2. Condition Data: Select the Condition Requirement created in the steps above
  2. Process complete.
