9.2 Initiating the Journal Generator Process

Purpose:  Use this document as a reference for initiating the journal generator process in ctcLink.

Audience:  Finance or Business Office staff

Initiating the Journal Generator Process

Navigation:  NavBar > Navigator > General Ledger > Journals > Subsystem Journals > Generate Journals

  1. The Generate Journals run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

  1. The Generate Journals Request page displays.
  2. Check the Journal Processing Options checkboxes that apply.
  3. Select Process Frequency = "Always".
  4. Enter SetID = "WACTC".
  5. Enter Accounting Definition Name.
  6. Enter Application Business Unit.
  7. Enter Ledger Group.
  8. Enter Template.
  9. Enter From Date Option.
  10. Enter From Date.
  11. Enter To Date Option.
  12. Enter To Date.
  13. Select Run.

  1. The Process Scheduler Request page displays.
  2. Select the process(es) to generate the journals.  "FS_JGEN" is the main journal generation process.
  3. Select OK.

  1. The Process Scheduler Request page disappears.
  2. The updated Generate Journals Request page displays.
  3. Note the Process Instance number.  Please refer to the Process Scheduling QRG for further instructions.

  1. To verify that the journals were created:

Navigation:  NavBar > Navigator > General Ledger > Review Financial Information > Journals

  1. The Journals search page displays.
  2. Select the Add a New Value tab.
  3. Enter Inquiry Name.
  4. Select Add.

  1. The Journal Inquiry page displays.
  2. Enter Unit.
  3. Enter Ledger.
  4. Enter Year.
  5. Enter From Period.
  6. Enter To Period.
  7. Enter additional Journal Criteria to identify your journals.
  8. Select Search.

  1. The Journals section of the page displays.
  2. Select the Journal ID of your journal.

  1. The Journal Inquiry Details page displays.
  2. The Journal Line section displays individual journal lines and amounts.
  3. Select the Drill to Source icon.

  1. The Drill to Source page opens in a new window.  Adjust as necessary.
  2. Select Save.
  3. Close the new window.

  1. To view and edit the actual journal:

Navigation:  NavBar > Navigator > General Ledger > Journals > Journal Entry > Create/Update Journal Entries

  1. The Create/Update Journal Entries search page displays.
  2. Select the Find an Existing Value tab.
  3. Enter Business Unit.
  4. Enter Journal ID.
  5. Select Search.

  2. After all errors have been corrected, enter Process = "Post Journal".
  3. Select Process.
