Capital Projects: Project Type and User Field 5

Purpose:  Use this document to add/edit the Project Type and User Field 5 fields for Capital Projects in ctcLink.

Audience:  Finance/Grant Fiscal Staff.

You must have at least one of these local college managed security roles:

  • ZZ PC Local Configuration
  • ZZ Project Costing Processing

You must also set these User Preference Definitions:

If you need assistance with the above security roles or User Preference Definitions, please contact your local college supervisor or IT Admin to request role access.

Capital Projects are created in the Project Costing Module and SBCTC utilizes both the Project Type and User Field 5 for monitoring, tracking and reporting.

SBCTC also tracks and monitors budgets using the dedicated User Field 5 is necessary for colleges to enter the Capital Project number that was assigned by the State Board. Both of these fields will be used to generate summary data for tracking and monitoring throughout the year and year end reporting.

Capital Projects: Project Type and User Field 5

In order to have your Capital Project tracked and monitored successfully, enter the Project Type and User Field #5.  It's not too late to enter this information, even if your Capital Project is currently active in the system. 

Adding the Project Type & User Field 5

Navigation: Project Costing > Project Definitions > Define Project General Info

  1. On the General Information tab page, select the Project Type field.
  2. Select CP_LC for Capital Projects Local Funded or CP_ST for Capital Projects State Funded.
  3. On an existing Capital Project number, select the User Fields tab on the right.
  4. Enter the State Board provided Capital Project number.                             
  5. Select Save.
  6. Process complete.
