9.2 FA Review and Complete Checklist Items

Purpose: Use this document as a reference for how to review and complete a checklist item for Financial Aid within ctcLink.

Audience: Financial Aid Counselor/Technician.

You must have at least one of these local college managed security roles:

  • ZD_DS_QUERY_VIEWER

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

FA Review and Complete Checklist Items

Student Checklist Item

Navigation:  NavBar > Navigator > Reporting Tools > Query > Query Viewer

  1. The Query Viewer search page displays.
  2. Enter the following query name:  CTC_FA_CHECKLIST_LIST
  3. Select the Search button.
  4. The Search Results display.
  5. Select the applicable HTML link.

  1. The Query criteria page displays.  Enter the following:
    • Institution - enter your institution (WA140 is used in the example below)
    • Aid Year - enter the Aid Year in which are you processing.  In the example below, 2019 is used.  
    • Checklist - (in the example below the Parent Tax Transcript for Clark College is used.  Note* your Checklist Code is specific to your institution.)
  2. Select the View Results button.

  1. The View Results display.  A list of students display that have been assigned the checklist that was chosen in the previous step.
    1. Note - The status of the checklist is “I” for "Initiated".
    2. This list will be used to complete the initiated checklist items.

For those testing this process, keep track of the EMPL ID and Aid Year used; as your student will be used in subsequent steps.

  • ZD CC 3Cs User
  • ZZ CC 3Cs User

The student list created in the previous process will be used in the following steps.

Navigation: NavBar > Navigator > Campus Community > Checklists > Person Checklists > Checklist Management - Person

  1. The Checklist Management - Person page displays.
  2. Select the student’s Empl ID from the generated list.
  3. Select the Search button.

  2. Select the Checklist Management 2 tab.

  1. Using the drop-down from the Status field, select on "Completed" from the Status drop-down list.
  2. Select the Save button.

  1. Once saved, both the Checklist Management 2 and Checklist Management 1 tabs will be updated.
