9.2 Accommodation Letter Template
Purpose: Use the document as a reference for how to create an Accommodation Letter Template in ctcLink.
Audience: Disability staff.
You must have at least one of these local college managed security roles:
- ZC CC 3Cs User
- ZZ CC 3Cs User

Accommodation Letter Template
Creating the Accommodation Letter Template
The process must be run during a term (On or after the first day of a term, on or before the last day of a term).
Navigate: NavBar > Navigator > Campus Community > Communications > Run 3C Engine
- The 3C Engine run control ID search page displays.
- Select the Add a New Value tab.
- Enter Run Control ID.
- Select Add.

- The 3C Engine Parameters tab displays.
- Select Population Selection.
- Select No Joint Processing.
- Enter Academic Institution.
- Enter Administrative Function.
- Enter Event ID.
- In Selection Tool, select "PS Query".
- In Query Name, select "CTC_RA_ACCOM_LTR_3C".
- Select Edit Prompts.

- The Query Prompts pagelet displays.
- Enter Institution.
- Enter Career.
- Select OK.
Depending upon the query selected, the fields on the Query Prompts page may vary which needs to be entered.

- The Query Prompts pagelet disappears.
- Select the Manage Duplication Assignment tab.

- The Manage Duplicate Assignment tab displays.
- Ensure the Check Duplicate Communication checkbox is unchecked.
- Ensure the Check Duplicate Checklist checkbox is unchecked.
- Select Run. Refer to the Process Scheduling QRG for instructions.

- After the Distribution Status is "Posted" and the Run Status is "Success", run the Communication Generation Process.
Run the Communication Generation Process
You must have at least one of these local college managed security roles:

Navigation: NavBar > Navigator > Campus Community > Communications > Communication Generation
- The Communication Generation run control ID search page displays.
- Select the Add a New Value tab.
- Enter Run Control ID.
- Select Add.

- The Selection Parameters tab displays.
- In ID Selection, select "Population Selection".
- In Selection Tool, select "PS Query".
- In Query Name, select "CTC_SR_POPSEL_COMMGEN".
- Select Edit Prompts.

- The Query Prompts pagelet displays.
- Enter Letter code.
- Select OK.

- The Query Prompts pagelet disappears.
- In the Letter Code Selection section, enter Letter Code.
- In the Communication Method Usage section, select "E-Mail".
- Select the Process Parameters tab.

- The Process Parameters tab displays.
- Select Address.
- Select Address Name.
- Select Salutation.
- Select Extra Name.
- Select Org Recipient.
- Select Contact Name.
- Select the Email Parameters tab.

- The Email Parameters tab displays.
- Enter From.
- Enter Subject.
- Select Run. Refer to the Process Scheduling QRG for instructions.

- View the Process Montor's View Log/Trace log file to validate the data. Again, refer to the Process Scheduling QRG for instructions.
TIP: Emails can be viewed from Communication Summary:
Navigation: NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Summary

View Generated Communication
You must have at least one of these local college managed security roles:
- ZC CC 3Cs User
- ZD CC 3Cs User
- ZZ CC 3Cs User

Navigation: NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Management
- The Communication Management search page displays.
- Enter Search Criteria to identify your student.
- Select Search.

- The Person Communication tab displays.

- Process complete.
