Checklists - Assign and Manage Checklists and Checklist Items

Purpose: Use this document as a reference for assigning and managing checklists and checklist items in ctcLink.

Audience: All staff

You must have at least one of these local college managed security roles:

  • ZC CC 3Cs User
  • ZD CC 3Cs User
  • ZZ CC 3Cs User

You must also set these SACR Security permissions:

If you need assistance with the above security roles or SACR settings, please contact your local college supervisor or IT Admin to request role access

Depending on your authorization level, you may add or remove checklists manually or through the checklist icon. This section will provide instructions on including checklists or "To Do" items in students' student centers.

Navigation: Campus Community > Checklists > Person Checklists > Checklist Management - Person

  1. The default option is Find an Existing Value. Enter criteria and select Search to view an existing checklist.
  2. Click the Add a New Value tab to assign a new checklist.
  3. Add the student's EMPLID number to the ID field.
  4. Enter or look up the Academic Institution by selecting the looking glass.
  5. Select the Add button.
Checklist Management 1 Tab
  1. The Checklist Management 1 tab displays.
  2. To select an Administration Function from the lookup list, click the magnifying glass icon to the right of the field.
  3. Enter or look up the Academic Institution by selecting the looking glass.
  4. Enter or look up the Checklist Code by selecting the looking glass.
  5. The Status defaults to Initiated. Other statuses include Completed.
  6. Enter Due Date. As of this date, the checklist for this individual must be completed.
  7. Enter the Due Amount, if applicable.
  8. Enter Comments, if applicable, to identify or describe the checklist.
  9. Click the Variable Data button. The administrative functions associate the 3C communications, checklists, and comments with something in ctcLink. The administrative function's Variable Data identify this something. All Administrative Functions except General Administrative Functions (GEN) include a unique variable data set—the Variable Data page displays. What is displayed depends on the checklist you're assigning. Enter the requested variable data fields.
  10. Select OK. In the absence of variable data for the administrative function, the Variable Data button is unavailable.
Checklist Management 2 Tab
  1. The Checklist Management 2 tab displays.
  2. To add a new item, select the Add a New Row [+] icon.
  3. To delete an existing item, select the Delete Row [-] button to remove
  4. It is possible to update the item status for any item by returning to this page at a later time. 
  5. At the bottom of the page, click Save after applicable changes.
  6. Process complete.
