9.2 Building FA Terms in Batch

Purpose:  Build financial aid terms for a group of students in a batch process using ctcLink.

Audience:  Financial Aid staff.

A financial aid term is a combination of a period of time your school determines as an instructional accounting period and an academic career. SBCTC defines financial aid terms during the setup process. Only the terms eligible for financial aid are set up for each financial aid career.

Building FA Terms in Batch

Part 1

Navigation:  NavBar > Navigator > Financial Aid > Financial Aid Term > Create FA Term Driver Records

  1. The 1. Create Term Driver Recs run control id page displays.  
  2. If the Run Control ID is known, enter it from  Find an Existing Value tab and select Search; or,
  3. Select the Add a New Value tab, enter a new Run Control ID and select Add.

  1. The Create FA Term Driver Records page displays.
  2. Select the Academic Institution from the drop-down menu.
  3. Enter Aid Year -- in this example, 2018 is used.  Enter the Aid year in which you are processing.
  4. Use the Driver Creation Option drop-down menu to select Both Updates and Projections.
  5. Select the Select Career checkbox for the UGRD career.
  6. Select the Rebuild Projections checkbox for the UGRD career.
  7. Select Run.

  1. The Process Scheduler Request page displays.  
  2. Select the Create Drivers Recs For FA Trm checkbox.
  3. Select OK.

  1. The Process Monitor page displays.  Ensure that the process achieves Success and Posted status.
Part 2

Navigation:  NavBar > Navigator > Financial Aid > Financial Aid Term > Build FA Term in Batch

  1. The Build FA Terms page displays.
  2. Select the Academic Institution from the drop-down menu.
  3. Enter Aid Year -- in this example, 2018 is used.  Enter the Aid Year in which you are processing, which should be the same year you used in Step 1 - Create FA Term Driver Records.
  4. Enter Commit Level = 500.
  5. Use the Driver Creation Option drop-down menu to select Both Update and Projections.
  6. Leave Print Detailed Messages? unchecked.
  7. Select Run.

  2. Select the FA Term Build Process checkbox.
  3. Select OK.

  1. The Process Monitor page displays.  Ensure that the process achieves Success and Posted status.
  2. The process to build FA terms in batch is now complete.
