9.2 Assigning a Student Equation Variable and Student Group

Purpose: Use this document as a reference for linking a student to a waiver using either Equation Variable or Student Groups in ctcLink.

Audience: Cashier, Bursars

Waivers using Equation Variables

Navigation: Student Financials > Tuition and Fees > Equation Variables

  1. Enter a student ID and select the Search button.

  1. On the Character Variables tab, scroll to the correct Academic Career and Term if necessary.
  2. Enter the Term.
  3. Enter the Character Variable. A list of waiver codes is provided at the end of this guide.
  4. Select the Save button.

  1. Navigate to the Tuition Calculation page: Student Financials > Tuition and Fees > Tuition Calculation
  2. If necessary, re-enter the student's ID and select the Search button.
  3. Use the arrow buttons to scroll to the Academic Career and Term for which the Waiver should apply.
  4. Select the Calculate Tuition and Fees button.
  5. Confirm that the appropriate Academic Career and Term is displayed or scroll to the correct one.
  6. Review the results by selecting the Display Tuition and Fees link.

  1. Select the Tuition and Fees 1 tab. Ensure that the Waiver line appears and displays the correct amount.

  1. Select the Tuition and Fees 3 tab. Review the Waiver Code, Adjustment Code, Adjustment Reason, and Refund Percent information.

  2. Select the Return button.

Waivers using Student Groups

Navigation: Records and Enrollment > Career and Program Information > Student Groups

  1. Enter the student's ID and select the Search button.

  1. Enter the Academic Institution.
  2. Enter or select the Student Group.
  3. Enter the Effective Date, the date on which the Student Group should become active.  The effective date should be on or before the term start in which tuition is being calculated for.  
  4. Set the status to Active.
  5. Optionally, enter additional information in Comments.

  1. Select the plus sign (+) to insert a new effective dated row.
  2. Update the Effective Date to correspond to the term end date for the term in which the waiver is being applied.
  3. Set the Status to inactive.

  2. Follow steps 6-16 from the Waivers Using Equation Variable section from above to complete this task.
