9.2 PLUS Loan to Parents

Purpose: Use this document as a reference for how to process PLUS loans to parents in ctcLink

Audience: Student Financials staff

Creating Refunds

Navigation:  Navigator > Student Financials > Refunds > Process Batch Refunds > Create Refunds

Be sure to create a Run Control ID with a unique and proper name for future use.

  1. The Create Refunds run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

  1. The Batch Refund tab displays.
  2. Enter Business Unit.
  3. Enter Refund Method = "A" (Accounts Payable).
  4. Enter Run Option 1 = "Individual Only".
  5. Enter Run Option 2 = "Financial Aid Only".
  6. Enter Sponsor Refund Option = "Individual Sponsors".
  7. Enter Refund Item Type.
  8. Enter Address Usage, which is the ctcLink mailing address for the refund.
  9. Checkboxes:
    1. Optional - Check the Report Only checkbox to generate a refund report only before processing the refunds.
    2. Check the Calc Tuition if Required box for students who have not already had their tuition calculated or who need tuition recalculated.
  10. Select the Academic Programs tab.

  1. The Academic Programs tab displays.
  2. Check the All Programs checkbox.
  3. Select the Accounts/Terms tab.

  2. Check the All Accounts checkbox.
  3. Enter or select a specific Term or check the  All Terms checkbox. If the batch refunding process runs longer than usual, uncheck the All Terms box and use a specific term code instead.
  4. Select the Item Types tab.

  1. The Item Types tab displays.
  2. Enter specific Item Types for PLUS loans you wish to refund. Use the lookup if you do not know the item types.
  3. Select Save.
  4. Select Run.  Please refer to the Process Scheduling QRG for further instructions.

  1. Select the Check Batch Refunds link to access the Batch Refunds Lines page and view created refunds.
  2. Select the Batch Refund Messages link to access the Review Batch Messages page and view any warnings or errors encountered during the process.
  3. Select the Process Monitor link to review the status of the refund process.
  4. Continue with the AP Refund Interface Process to send the information to Finance to print the check.

Run the AP Refund Interface

Navigation:  Student Financials > Refunds > AP Direct Deposit > Create Refund Vouchers

  1. The Create Refund Voucher run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

  2. Enter Business Unit.
  3. For Run Option, it is recommended to run "Individual Only" separate from "Organization Only" or "Individual and Organization".
  4. Select Run.  Please refer to the Process Scheduling QRG for further instructions.
