Communications - Delete Communications Process

Purpose: This document is a reference for running the Delete Communication process in ctcLink.

Audience: College staff responsible for running the Communication Generation process.

You must have at least one of these local college-managed security roles:

  • ZC CC 3Cs User
  • ZD CC 3Cs User
  • ZZ CC 3Cs User

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You must also set the following SACR Security permissions:

 

This process can delete communications assigned but not completed in the system.  

This process can't undo emails that have already been sent, but it WILL DELETE the communication record and history from the communication management page. Users must be cautious about selecting users using the external file or query to choose the right population for deletion.

Delete Communications

Navigation: Campus Community > Communications > Delete Communications

  1. The Delete Communications search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
  3. NOTE: It is important to note that Run Control IDs cannot  be deleted. Do not include spaces in your Run Control. We encourage the  Run Control ID to have the same process naming convention but unique to  the step; because of this, including your institution code and a short  process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type).
  4. The Delete Communications page displays.
  5. Enter or look up the Academic Institution by selecting the looking glass.
  6. Enter or look up the Administrative Function by selecting the looking glass.
  7. Enter or look up the Category by selecting the looking glass.
  8. Enter or look up the Context by selecting the looking glass.
  9. Enter or look up the Letter Code by selecting the looking glass.
  10. Enter the From Date by clicking the date picker.
  11. Enter the To Date by clicking the date picker.
  12. Select Selection Tool = PS Query.
  13. Enter Query Name = QCS_CC_COMMUNICATION_DELETE.
  14. Select the Edit Prompts link
  15. The Query Prompts window displays.
  16. Enter or look up the Institution by selecting the looking glass.
  17. Enter or look up the Letter Code by selecting the looking glass.
  18. Click on the date picker to enter the Min Comm Date.
  19. Click on the date picker to enter the Max Comm Date.
  20. Select OK, and the Query Prompts window disappears.
  21. Select Run. Visit the QRG Process Scheduling for more information. Depending on the number of communications to be deleted, this process may take a few minutes.
  22. Process complete.
