9.2 Viewing SEVIS Master Component

Purpose: Refer to this document when viewing the SEVIS Master Component in PeopleSoft.

Audience: College staff responsible for maintaining student SEVIS information.

You must have at least one of these local college managed security roles:

  • ZC CS SEVIS
  • ZD CS SEVIS
  • ZZ CS SEVIS

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

You will need to set these SACR Security permissions:

Note: 

  • Warning! Colleges should NOT update the SEVIS Master Component directly. The SEVIS Master Component will update automatically when the correct data elements exist on the student’s record. Do not manually update the data on any of the SEVIS Master Component pages unless you have made changes directly in SEVIS RTI that cannot be processed using the Send to Master feature on the Select Alerts to Report  F/M page. The data on the SEVIS Master Component pages should always match the data in SEVIS RTI.
  • You can search for students on the SEVIS Master Component after you have entered an I-20 for them and completed the SEVIS alerts process to send to Master or SEVIS. Related QRGs:

Viewing SEVIS Master Components

Navigation: NavBar > Navigator > Campus Community > SEVIS > SEVIS Maintenance > SEVIS Master 

  1. The SEVIS Master search page displays.
  2. Enter Search Criteria to identify your student.
  3. Check the Include History option.
  4. Select the Search button.

The data populated on the SEVIS Master Component is sourced from existing data on the student’s record, including the I-20 in PeopleSoft, Bio/Demo data, Student Program/Plan data, Enrollment data, and Employment Authorization data, as well as transaction information returned when the Import SEVIS process is run successfully.

  1. The SEVIS Master page displays and defaults to the Bio/Demo tab.

The Status field displays as Inactive while awaiting SEVIS batch processing. Once the SEVIS Imports process has been run successfully, the Inactive Status row would be deleted and replaced with an Active Status row. See QRG: 9.2 Importing SEVIS I-20 Data. If there were errors identified during the Import SEVIS process, the Inactive SEVIS row will be deleted from the SEVIS Master component.

The SEVIS Master is used for all international student types (F, M, J), and not all fields may apply to your student.

  • Review the Bio/Demo data for your student. This page will also display the I-20 status information regarding Cap Gap and Termination reasons (F/M) as well as Infraction information (J).

A: Extract ID refers to the Batch ID and Student Request ID that was created when the SEVIS Alerts Export process was run. See QRG: 9.2 Exporting Data to SEVIS.

B: Refers to the name of the SEVIS Event that was processed for the Extract ID listed. See QRG: 9.2 Understanding SEVIS Event Triggers & Conditions in PeopleSoft.

  1. Select the Addresses tab.
    • Review the address information for your student.

A: Foreign Address is populated by the Permanent Address type on the student’s Bio/Demo record.

B. US Address is populated by the Home Address type on the student’s Bio/Demo record.

  1. Select the Program tab.
    • Review the Program information for your student
    • Note: The SEVIS Import Process for F/M visas will update the SEVIS Status when the following Events are processed by SEVIS successfully:
      • Registration (Sets SEVIS Status to Active)
      • Status Cancel (Sets SEVIS Status to Cancelled)
      • Status Terminate (Sets SEVIS Status to Terminated)
      • Status Complete (Sets SEVIS Status to Complete)
  • The SEVIS Import process for J visas will update the SEVIS Status when the following Events are processes successfully by SEVIS:
    • Create EV (Sets SEVIS Status to Initial)
    • Validate (Sets SEVIS Status to Active)
    • Status  No Show (Sets SEVIS Status to No Show)
    • Status  Terminate (Sets SEVIS Status to Terminated)
    • Status  End (Sets SEVIS Status to Inactive)
    • Status  Invalid (Sets SEVIS Status to Invalid)
Set SEVIS tab to Initial on the Program Tab
The Registration Tab displays
  1. Select the Registration tab.
    • Review the Registration information for your student. This page will populate after your student has been enrolled in classes and the Registration Event has been exported to SEVIS.
The Financial Tab displays
  1. Select the Financial tab.
    • Review the Financial information for your student.
The Dependents page displays
  1. Select the Dependents tab.
    • Review the Dependent information for your student. This page populates the Dependents bio/demo information from PeopleSoft. You must first add the Dependent’s PeopleSoft ID to the Primary Student’s I-20. See QRG 9.2 Entering I-20 Data.

Employment/SOA page displays
  1. Select the Employment/SOAtab.
    • Review the Employment/SOA information for your student. Information on this page is populated from the Employment Authorizations entered for the student and the results provided in the transaction log returned by SEVIS. See QRG 9.2 Employment Authorizations (SEVIS).
