ESS Request Absence (Fluid)

Purpose:  Use this document as a reference for requesting time off for employees in ctcLink.

Audience:  Employees

Navigation:  HCM Employee Self Service (homepage) > Time (tile) > Manage Absences (tile)

  1. The Manage Absences page displays. The top of the Manage Absences page contains the Header information for the employee. There are several fields from Job Data that make up the Header display:
    • Name -  Employee’s name
    • Person ID & Empl Rcd - Person ID (Empl ID) and Employee Record number
    • Job Title Supervisor Name -  Employee’s title and supervisor’s name
    • Department & Hourly Rate -  This is the employee’s department name and hourly rate*
    • Select Another Job - This link is only visible when the employee has more than one active job. It allows selection of the proper job to view from a pagelet listing all active jobs.

* Hourly Rate - This rate is a ‘dynamic display, based on the Calendar date range selected. The current pay period date range will show the employee’s current hourly rate. Selecting dates from the past will show whatever the rate was at that time, prior to a pay raise.

If the employee has more than one active job, a link displays under the employee name and department. To request an absence in another job, click the Select Another Job link and choose the appropriate job from the Change Job Selection window. The system displays the Person ID, Record Number, Job Title, Supervisor Name, Department and Hourly Rate for each active job the employee has.

  1. Below the Header area is the Recent Requests area. This is where the last few requests display information such as Absence Name, Date, Duration and Status.
    There are also Related Actions associated with these recent requests and are accessed on the status line to be used to View Absence or Cancel Absence if necessary.
  2. Beneath the Recent Requests section is the Create a new Request section, where the data to initiate the absence request is entered.
  3. Enter or select a Start Date and End Date for the absence.
  4. Select Absence Name from the drop-down menu.
  5. Click the Apply Absence button.

  1. The Balance for the selected Absence Name displays along with some additional fields.
  2. Use the Reason drop-down menu to select an appropriate reason for the absence. (This is an optional field in most situations.)
    NOTE: If the Absence has to do with FMLA, the Absence Reason is required.
  3. Based on the Start Date and End Date, the Duration will dynamically generate.
  4. If the Absence is not for a full day, select Partial Days.
    NOTE: PTF will always submit Partial Day absences.
  5. From the Partial Days drop-down menu, the available options (depending on the duration) are:
    • None: no part of the absence is a partial day
    • All Days: every day of the absence is a partial day.
    • End Day Only: the last day of the absence is a partial day.
    • Start and End Days: both the start and the end days of the absence are partial days.
    • Start Day Only: the first day of the absence is a partial day.
    • If Partial Days is chosen the user must indicate: Is the day a Half Day?  (Yes or No).
  6. If the answer is No, enter the Duration (number of hours for the partial day absence).
  7. Select the Done button to return to the Manage Absences page.
  8. Comments are available for the employee and typically are used to provide information to support the request. These are optional.
    NOTE: Comments cannot be deleted from the system and are considered public records.
  9. Click the Submit button.
  10. Select the Yes (Status will change to Submitted).
