ESS Time Summary (Fluid)

Purpose: Use this document as a reference for viewing Time Summary for employees in ctcLink.

Audience:  Employees

View Time Summary

Navigation:  Employee Self Service (homepage) > Time (tile) > Time Summary (sub-tile)

  1. The top of the Time Summary page contains the Header information for the employee. There are several fields from Job Data that make up the Header display:
    • Name -  Employee’s name
    • Person ID & Empl Rcd - Person ID (Empl ID) and Employee Record number
    • Job Title & Supervisor Name -  Employee’s title and supervisor’s name
    • Department & Hourly Rate -  This is the employee’s department name and hourly rate*
    • Select Another Job - This link is only visible when the employee has more than one active job. It allows selection of the proper job to view from a pagelet listing all active jobs.

* Hourly Rate - This rate is a ‘dynamic display, based on the Calendar date range selected. The current pay period date range will show the employee’s current hourly rate. Selecting dates from the past will show whatever the rate was at that time, prior to a pay raise.

NOTE:  The Time Summary functionality has a calendar icon for the employee to set the viewing time-period.

The View By field offers a drop-down menu with the following calendar options: Bi-weekly, Monthly, Period and Weekly.

  1. Below the Header area are the Time Summary control fields that determine the when, the what, and the how the information is to be presented.
    To the right is a View By drop-down menu with the following options:
    • Bi-Weekly: displays two weeks
    • Monthly: displays the current month
    • Period: displays the current pay period
    • Weekly: displays the current week
  2. To the left of the page just below the Header area, is the Calendar icon to select a specific date, two arrows [<] and [>] which allow navigation to past and future time periods depending on the View By selected, and then the dates correlate to how the controls were specified.
  3. In the lower-right corner of the control area is a View Legend link that opens a small window to clarify what the employee is looking at on the page.
  4. There are two tabs to the left of the Legend, this is the Reported Time and Payable Time toggle. The currently selected value is highlighted (bold), by selecting the other value will change the view of the time to indicate different relevant details.
  5. If looking at Reported Time and selecting a specific day on the calendar view area, it will highlight that date in light blue (see below) and the day selected will also be represented at the bottom of the page. In the day row at the bottom of the page there is an Actions button, which allows the employee to select Edit Time.  Selecting Edit Time will redirect the employee to Enter Time for that period.

NOTE:  If the Edit Time button is selected for a day in a previous pay period, then they will not be allowed to edit their time entry.

  1. Below the Calendar icon and previous/next arrows is a graph of the employee's Scheduled hours (red) vs Reported hours (green) for reference.
