Paycheck Modeler - ESS Fluid

Paycheck Modeler lets employees simulate their own paychecks, investigate their own what-if scenarios, and answer most of their own questions without having to call payroll department for assistance.

Navigation:  Employee Self Service > Payroll (Tile) > Paycheck Modeler (Tile)

NOTE:  If the employee has multiple jobs, the modeled check can be generated for one job at a time. Select one of the jobs from the list and select the Proceed button to continue with paycheck modeling.

Step 1 - Welcome Page - Terms and Conditions

  1. Welcome to the Paycheck Modeler page displays. Before using Paycheck Modeler, you must acknowledge and agree to the terms and conditions.
  2. After reviewing terms and conditions, select the "I Agree" button.
    NOTE: Selecting Decline exits the tool.

Step 2 - Decision Page to Select a Modeling Option

Start with Earnings, Deductions or Taxes to calculate your modeled paycheck. You can also do everything together using the Review All option.
Wherever you start, the three tabs are visible so you can visit the other sections seamlessly from any one of the choices. For example, if you plan to make one type of change, for example deductions, it is quicker to navigate directly to that page and make the updates. From that page you can navigate to other pages to view or edit.

To explain the procedure in this QRG, the Review All option is going to be described to show modeling done on each tab.

Step 2 - Decision page for modeling options

Step 3 - Earnings

The employee's standard earnings from the last confirmed paycheck are listed . You can Edit the earnings row and add to or reduce earnings to match your model. You can also proceed to the Deductions or Taxes tabs without changing any earnings. If you do so, the values from earnings will be automatically carried forward. Use the Clear Amount option to clear any earnings amounts, for example, the image below includes a Holiday Pay row which may not be necessary in your modeling calculation.

  1. For each earnings row, you are able to Edit individual amounts, Clear Amount individually or Clear All amounts.
    In this example:
            --  Holiday Pay row amount will be cleared.
            --  Regular Pay -Salaried amount will be increased
  2. It is also possible to Add Proposed Earnings (new row) by selecting the Add Row icon [+] and enter the details on the pagelet:
    1. Earnings Type (selected from the lookup icon defined for the employee's company and pay group)
    2. Determined by the earnings selected, enter the Amount or Hours to calculate.
    3. Select the Done button to close pagelet.

  1. After the amount changes are done, a Modeled tag is displayed on impacted row(s) with the new amount displayed and modifications are tracked.
    The Restore button becomes available when one or more values have been cleared or changed.
    Select to revert all changes on the page back to their original values.
  2. Total Earnings are summed at the bottom.

Step 4 - Deductions

The deduction step shows all the employee's standard deductions scheduled to be taken in the next open calendar. The employee can add/edit/update the deductions. It works the same as Earnings . Garnishments are special consideration here, as employee is not allowed to update the garnishments but can set it to zero.

  1. Select the Deductions tab.
  2. Select the Edit icon for applicable row(s) as needed.
  3. Add Deductions (similar to Earnings) for a new row and enter the details - based on the deductions defined for the employee's company and pay group.
  4. Select the Clear Amount icon to remove applicable individual deductions, or Clear All Amounts.

Step 5 - Taxes

Employee’s tax information can be updated in the Taxes tab, based on the tax withholding information from the last confirmed paycheck. It includes a Federal Tax Withholding row and a State Tax Withholding row based on the employee's work or resident state. Notice there is no "clearing" for this element, just Edit.

  1. Select the Taxes tab.
  2. Select the Edit icon on the Federal row, and/or State row.

  1. Select the Federal row Edit icon to open the Model Federal Tax Withholding pagelet.
  2. Tax Status is a required field. Select the appropriate value from the drop-down menu, for example, Head of Household as seen in the left image below. Edit the fields as needed.
    NOTE: Modifications have been made to set the special withholding tax status to Maintain Taxable Gross if tax status in the Paycheck Modeler’s Federal Tax page is changed to Exempt.
  3. Select the State row Edit icon to open the Model State Tax Withholding pagelet (as seen on the right image).
  4. Tax Status is a required field. Select the appropriate value from the drop-down menu.
    Edit the fields as needed.
  5. Select the Done button to close the pagelet and return to the Taxes page.

Step 6 - Calculate

Calculate step calculates the model check based on the changes made. Once the employee has made changes, the “Calculate My Modeled Check” button is available on the Paycheck Modeler Calculate page. The Next button remains unavailable until after the user selects the Calculate My Modeled Check button. When the modeled check is calculated, a message appears and the Next button becomes available.

  1. After entering the edits/changes in the Paycheck Modeler tool, select the Calculate Check button.

Step 7 - Results and Next Steps

When the modeled paycheck is generated based on the changes that are done by the employee in the previous steps, the Results page displays. Appearing on the Paycheck Modeler Results, are the Modeled Check: Before; Modeled Check: After; Modeled Check: Insights (percentage pie chart).

  • Modeled Check: Before is the original starting point.
  • Modeled Check: After is the calculation of the changes made to earnings, deductions and taxes. Whether the change is more or less to the employee is designated.
  • Modeled Check: Insight illustrates the earnings, deductions and tax percentages of the net pay. The user has the option to select a graph ("spreadsheet") version by selecting the graph icon if they prefer.

  1. The Pay Details link in both the Modeled Check: Before and Modeled Check: After areas above provide details of the corresponding paycheck in Earnings, Taxes and Deductions respectively.

  1. Above the three areas on the Results page are four buttons:

Compare --

  • Select to view the side-by-side display of all earnings, deduction, and tax entries as well as the net pay amounts of the modeled check before and after the calculation on the Compare Modeled Check Page.
  • Each updated entry has a Modeled tag to indicate that it was edited during the simulation. A Recalculated tag is attached to each entry that changed during the calculation of the modeled check.

Show Changes --

  • Select to view the changes you made to earnings, deduction, and tax entries in the modeled check on the View Modeled Changes Page.
  • The page shows the before and after values for each modeled entry and the net pay of the check.

Modify --

  • Select to make further updates on Earnings, Deductions, and Taxes pages and calculate the paycheck again

Exit --

  • Select to leave Paycheck Modeler. Data updated during the session is not saved when you exit.

Below the three areas on the Results page are three boxes:

  1. View Modeled Paycheck
    • Select to view the modeled paycheck in PDF document. The modeled paycheck file is non-negotiable and unofficial, with the word Estimated displayed as the watermark.

  1. Start a New Paycheck Modeler
    • Select to start new modeling session with another paycheck.
  2. Tax Withholding
    • Select to view or manage tax withholding information on the Tax Withholding Page.
