View, Cancel and Resubmit Absence Request through View Requests Tile

Purpose: Use this document as a reference to view an absence request, then cancel and resubmit that Absence Request using a same day included in the original request. In other words, if a request was made and and later needs to be changed, such as extending both ends of the absence or changing the number of hours for the same days, you cannot Cancel the request and then submit a new absence request through the Manage Absence tile. Now it can all be done through the View Requests tile.

NOTE: If you are wanting to cancel a request and then create a new request, without using any part of the original dates, you have the option of using the Cancel Absences tile for the existing request and use the Manage Absences tile for the new request.

View and Cancel the Absence Request

  1. The View Requests page displays. The top of the View Requests page contains the Header information for the employee. There are several fields from Job Data that make up the Header display:
    • Name - Employee’s name
    • Person ID & Empl Rcd - Person ID (Empl ID) and Employee Record number
    • Job Title & Supervisor Name - Employee’s title and supervisor’s name
    • Department & Hourly Rate - This is the employee’s department name and hourly rate*
    • Select Another Job -This link is only visible when the employee has more than one active job. It allows selection of the proper job to view from a pagelet listing all active jobs.

*Hourly Rate - This rate is a ‘dynamic’ display, based on the Calendar date range selected. The current pay period date range will show the employee’s current hourly rate. Selecting dates from the past will show whatever the rate was at that time, prior to a pay raise.

If the employee has more than one active job, a link displays under the employee name and department. To view the request in another job, click the Select Another Job link and choose the appropriate job from the Change Job Selection window. The system displays the Person ID, Record Number, Job Title, Supervisor Name, Department and Hourly Rate for each active job the employee has.

  1. Identify the Absence Request based on the date and absence amount that populates on the right hand side of the row for the request to cancel. Request details will populate on the screen in a view-only capacity.
  2. The number of requests may be lengthy and can be selected to show statuses as of dates, duration, absence types and so on, by using the filter under the View Requests title area. This example shows only one request.
  3. Select in the row for the request type and date of request you choose to cancel.

  1. On the Absence Details page, review, verify and then select the Cancel Absence button.
  2. A Cancel Absence pop-up window displays with a text box for you to enter Comments for why you are canceling the request.
  3. Select the Cancel Absence button to close the window. When you see a confirmation message, select the Yes button.
  4. A message "Absence Request Canceled Successfully" displays. Select the OK button. Select the (X) to close the window.

Re-Submitting an Absence Request Using the Same Day

  1. Select the Return to View Requests link on the Absence Details page.
  2. On the View Requests page, notice in the row for the date of the request you just canceled, the status is updated to Canceled.
  3. Select the Canceled Absence Request row that you wish to re-submit (for the same day).
  4. The Manage Absences - Create a New Request page displays. Notice the status is Canceled.
  5. Make the changes necessary to the revised request, such as the Start Date and End Date (which is to include at least one of the days previously used).
  6. If the Absence Name is to be changed, select the new Absence Name from the drop-down menu and select the Apply Absence button, and enter the Reason for the absence from the drop-down menu list.
  7. If Partial Days are to be used, specify from the lookup and the Duration will be calculated for you.
  8. Enter the Comments for the absence.
  9. In the example in the video below, the revised request is for the same dates as the original request. However, now the Partial Days field has been applied with only 4 hours being taken on the first day and the resulting Duration going from 16.00 to 12.00 hours.
  10. After making changes to the request, select the Submit button. Select Yes to the confirmation request. The Canceled status changes to Submitted in the top tiles listing the 3 most recent requests.

The process to view an absence request, cancel that request and then resubmit the request using the View Request tile is complete.
