Deleting ISIR Information

Purpose:  Use this document as a reference on how to delete ISIR information using ctcLink.

Audience:  Financial Aid staff.

You can delete a previously loaded ISIR to load a new ISIR for the student. This can occur when an initially rejected ISIR is loaded into the system, but the new official ISIR suspends because of a conflict with a previously loaded ISIR. After you delete the rejected ISIR, the system allows the new official ISIR to load.

You can also delete an ISIR that loaded to the wrong student. An ISIR can load to the wrong student due to the sensitivity of the search match criteria used in the ISIR load process. This can also happen if an ISIR is manually assigned to the incorrect student online.

Note, when deleting ISIR information, you must also delete the accompanying NSLDS information.

You must have at least one of these local college managed security roles:

Note: There are no college-grantable security roles for this function.  However, the role 'ZC FA ISIR Imports' provides the needed functionality.  SBCTC's CS Functional team must approve the granting, by SBCTC Security, of this role.  Please open a ctcLink Service Desk ticket.

Deleting ISIR Information

Navigation:  Financial Aid > File Management > ISIR Import > Delete ISIR/NSLDS Records

  1. The Delete ISIR/NSLDS Record search page displays.
  2. Enter the desired information into the Empl ID field.
  3. Enter Institution.
  4. Enter Aid Year.
  5. Select the Search button.
  6. The ISIR Delete page displays. Use the page to delete incorrectly loaded ISIR records from the application tables so that correct ISIR information can be loaded for the student.

Caution: If you incorrectly delete or modify information on the ISIR Delete page, you can create data integrity errors in your database, or adversely impact downstream processes.

  1. Select the Delete ISIR check box in the row that you want to delete. When you select the Delete Selected ISIR(s) button, the system deletes the row from the grid that you selected.
  2. Select the Delete Selected ISIR(s) button.

Deleting NSLDS Information

When deleting ISIR information, you must also delete the accompanying NSLDS data that comes in with that ISIR.  If you delete only the ISIR info row, and leave the NSLDS info row, you are leaving an orphan NSLDS record that will not match up with the ISIR that's been deleted.  Leaving orphaned NSLDS data rows may cause NSLDS suspense occurrences.  Delete both the ISIR row and its accompanying NSLDS data row.  If/when you re-load the ISIR, the NSLDS data row will then align with the loaded ISIR row.

  1. At the NSLDS Delete tab, in the NSLDS Delete group box, review the Transaction Process Date column.  Choose the row that aligns with the FAFSA Application Date.  For instance, if the FAFSA application date was completed on 2/22/2022, delete the corresponding row.  Pay attention to the ISIR Source Year and ensure you are deleting the correct row.
  2. Select the minus button on the row you will delete.
  3. Select the Save button.
  4. Next open a new browser window and navigate to the FAFSA Information page in the ISIR Data Corrections component to verify that the data is deleted.
  5. Select the New Window link.

Checking ISIR Records Page to Verify Deletion of Record

You must have at least one of these local college managed security roles:

  • ZZ FA ISIR Corrections

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  Financial Aid > Federal Application Data >  Correct 20xx-20xx ISIR Records

  1. The Correct 20xx-20xx ISIR Records search page displays.
  2. Enter the desired information into the ID field.
  3. Select the Search button.
  4. If there is only one row you deleted, and no other ISIRs have been loaded into the system, the No matching values were found message will display.
  5. If there is more than one row, the FAFSA Information page displays.  Use the page to verify that the ISIR Data row that you selected and deleted on the ISIR Delete page is removed.  
  6. After you have verified that the system removed the ISIR data row, you may close the browser window.
  7. You have successfully selected an ISIR data row from the ISIR Delete page, deleted it, and navigated to the FAFSA Information page to verify that the system removed the row.
