Assigning a Batch of Students to a Third Party Contract

Purpose: Use this document as a reference for assigning a batch of students to a payment plan or third party contract in ctcLink.

Audience: Student Financials staff.

You must have at least one of these local college managed security roles:

  • ZD SF Third Party Contracts
  • ZZ SF Third Party Contracts

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Assigning a Batch of Students using an External File

Prerequisite:  This process requires an excel spreadsheet in .CSV format with student ID numbers.

Navigation: Student Financials > Payment Plans > Mass Contract Select

  1. The Mass Contract Select search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type).
  3. The Mass Contract Select page displays.
  4. Within the Population Selection section:
    1. Select External File from the Selection Tool drop-down.
    2. Select the Upload File button and the File Attachment pop-up opens.
      1. Select the Choose File button and the File Explorer pop-up opens.
        1. Search for then choose your file and select the Open button.
      2. Select the Upload button and the Mass Contract Select page displays.
    3. Select the Create File Mapping link and the Population Selection File Map page displays.
      1. Enter the File Mapping name. Leave the Public checkbox deselected.
      2. Select Delimited from the File Type drop-down.
      3. Select Comma from the Field Delimiter drop-down.
      4. Select the Header Row checkbox if your file has a header row.
        1. Enter the Header Row Number. This is likely the number one (1).
      5. In the Field Mapping section:
        1. Enter the Field Number for the appropriate Field Name.
      6. Select the OK button and the Mass Contract Select page displays.
Population Selection File Map page
  1. Within the Default Values section:
    1. Enter the Business Unit.
    2. Enter or search for the Contract Number.
      • Note: This should be the contract you are going to be assigning students to.
    3. Optional: Enter the Reference Nbr.
    4. Select Contract Status = "Active".
  2. Select the Run button. Please refer to the Process Schedule Request steps for further instructions.
  3. Section complete. The population now resides in a temporary table and requires further processing to be added to a plan. Please refer to the Assign and Recalc steps to complete the process.

Assign and Recalc

Navigation: Student Financials > Payment Plans > Payment Plan or Third Party Contract > Assign and Recalc

  1. The Recalc Third Party search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type)..
  3. The Recalc Third Party Contracts page displays.
  4. Under the Parameterssection, enter or search for the:
    1. Business Unit.
    2. Under the Contract Numberssection, enter or search for the:
      1. Contract Number From.
      2. Contract Number To.
  5. Select the Run button and the Process Scheduler Request page displays.
  6. Select Third Party Batch Assignment checkbox.
  7. Select the OK button. Please refer to the Process Schedule Request steps for further instructions.
  8. Process complete.

Be sure to select a few students from your Mass Contract Select to review individually in View Customer Account to ensure students have been loaded properly.
