Rollover Third Party Contract

Purpose:  Use this document as a reference to rollover third party contracts in ctcLink.

Audience: Student Financials staff

You must have at least one of these local college managed security roles:

  • ZD SF Third Party Contracts
  • ZZ SF Third Party Contracts

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Rollover Contracts

Navigation: Student Financials > Payment Plans > Third Party Contract > Rollover Contracts

  1. The Rollover Third Party Contracts run control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type).
  3. The Rollover Third Party Contract page displays.
  4. Under the Parameters section, select or enter the Business Unit and the Term of the contracts you are rolling over.
  5. If you wish to copy all contracts for a specific Organization, enter the External Org ID.  Leave the field blank to select all active contracts for the given term.
  6. Select Contract Type of Specific Term.
  7. Under the Default Options section, enter or search for the New Term (This is the term you will be copying the contracts to).
  8. Enter the Last Date that new charges can be covered or new students can be assigned. We encourage you to push this date way out in the future.
  9. Select the Use Cross Ref Student Charge checkbox to include student charge detail on the corporation account.
  10. Under the Rollover and Assign section, select the checkboxes for:
    1. Assign Students to Contract - to initiate the process to assign students from the source contracts to the new contracts.  Only students with an active status on the source contract will be selected.
    2. Check Term Activation - if you want to only copy students who are term activated in the new term.  
    3. Copy Reference Fields - if you want to copy the user-defined data from the source contracts to the new contracts.
  11. Select the Retrieve Contracts button.
  12. The list of qualifying contracts displays under the Rollover and Assign section.
  13. Enter the New Contract Number and update the Description for each of the new contracts you will be creating.
  14. Select the Run button. Please refer to the Process Schedule Request steps for further instructions.
  15. Section complete.

Batch Assign Students to Contracts

Navigation: Student Financials > Payment Plans > Third Party Contract > Assign and Recalc

If you selected the Assign Students to Contract on the Rollover Contracts process, you will need to complete the following steps to assign the students to the new contracts.

  1. The Recalc Third Party Contracts run control ID search page displays.
  2. If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button. 
    • NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control.   3. The Recalc Third Party Contracts page displays.
  4. Enter the Business Unit.
  5. Enter the new contract number in the Contract Number From field. This will be the same contract(s) that was/were created in the Rollover Contracts process.
    • If you are assigning students for multiple contracts, populate the Contract Number To field with the last contract number of the range of new contracts you are assigning students to.
  6. Select the Run button.
  7. The Process Scheduler Request page displays.
  8. Select Third Party Batch Assignment checkbox and then select the OK button.
  9. Please refer to the Process Schedule Request steps for further instructions.
  10. Process complete.
