9.2 Analyzing a Customer Account

Purpose:  Analyze a customer account using ctcLink.

Audience:  Accounts Receivable staff

Aging accounts receivable is the process of updating the age of customers' outstanding items based on the the item accounting date.  In order to properly manage accounts receivable and cash flow, you should age the items at predefined intervals.

You must have at least one of these local college managed security roles:

  • ZC AR Customer Maintenance
  • ZD AR Inquiry
  • ZZ AR Customer Maintenance

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Analyzing a Customer Account

Navigation:  NavBar > Navigator > Accounts Receivable > Customer Accounts > Customer Information > Customer History

  1. The Customer History search page displays.
  2. Enter Customer.
  3. Select Search.

  1. The History page displays.  Use it to view both user-defined and system-defined history.

  1. Next, navigate to the Profile page:  NavBar > Navigator > Accounts Receivable > Customer Accounts > Customer Information > Account Overview.
  2. Select the Profile tab.
  3. Use the Level field to specify the items to include for the customer group to which your customer belongs.
  4. Select Search.

  1. The Profile page displays.  Use it to view customer profile information.  This page also enables you to use links for viewing in-process payments or outstanding items.
  2. Select the Item List link.

  1. The Item List page displays.  Use it to view a list of open items for the customer.
  2. Select a value from the Status dropdown menu to view the type of items you want to display.
  3. Select Search.  
  4. Select Cancel.

  1. Next, navigate to the Customer Payments page:  NavBar > Navigator > Accounts Receivable > Customer Accounts > Customer Information > Payments.
  2. The Customer Payments search page displays.  
  3. Select Search.

  1. Next, navigate to the Payment History page:  NavBar > Navigator > Accounts Receivable > Customer Accounts > Customer Information > Payment History.  
  2. The Customer Payment History search page displays.  Use it to view payment history, balance, and sales information for your customer.

  1. The Customer Payment History page displays.
  2. Select Credit Limit.

  1. The Customer Component page displays.  Use it to view or record general customer information.
  2. Select the status of your customer's account in the Status field.
  3. Use the Date Added field to enter the date when you entered the customer in the system.  
  4. Use the Since field to specify that the customer has been a customer since a certain date.  
  5. Use the Type field to identify customer categories in reports.
  6. Select the General Info Links list and choose 'Credit Profile' from the list item.

  1. The Credit Profile page displays.  Use it to view or update the general credit profile of your customer. 
  2. Select the Add a New Row icon.

  1. A new set of data entry fields displays.
  2. Use the Effective Date field to specify the date when you are updating the credit profile of your customer.  It defaults to today's date.
  3. Use the Credit Class field to select additional credit categories for your customer.
  4. Use the Risk Code field to select the risk level for your customer's past credit history.  Select a value from the Risk Code dropdown menu.
  5. Use the Risk Score field to view the credit risk score that has been calculated for this customer. This calculation is based on the establishment of risk scoring rules and running of the Risk Scoring process (RUN_AR_RISK).  This score may change each time the Risk Scoring process is run for a customer or customer group depending on any new payment and collection activities.
  6. Use the Currency Code field to specify the currency code for your customer's account.
  7. Use the Rate Type field to enter the rate type for converting transaction currencies to the currency code that you specified.
  8. Select the Collection check box if you have turned a customer over for collection.
  9. Use the Collection Information Status field to specify the collection status code.
  10. Select the Enable Credit Checking option.
  11. Use the Credit Limit Review Date field to specify the date on which you re-evaluate both the corporate and general credit limit. 
  12. Enter Credit Limit.  
  13. Select OK.
