9.2 Viewing a List of Disputed Items

Purpose:  To view a list of disputed items using ctcLink.

Audience:  Accounts Receivable staff.

If a customer is disputing an invoice, you can put the item in dispute and indicate the amount and reason for the dispute. Putting an item in dispute does not generate accounting entries.

ctcLink Receivables enables you to use the Item List component to search for the disputed items of a specified customer or business unit. You can also generate a list of disputed items spanning multiple customers based on search parameters.

In this topic, you will view the details of items in dispute for a customer.

You must have at least one of these local college managed security roles:

  • ZC AR Customer Maintenance
  • ZD AR Inquiry
  • ZZ AR Customer Maintenance

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Viewing a List of Disputed Items

Navigation: NavBar > Navigator > Accounts Receivable > Customer Accounts > Item Information > Item List

Use the search fields at the top of the page to identify customers whose items you want to review, or use the Advanced Search page to enter detailed search parameters

  1. Enter or select the Customer ID of the customer whose items you want to view, or leave blank to view all items in the business unit.
  2. In the Level field select from the following options.
    • No Relationship to indicate that no customer relationships are considered
    • Corporate to consider only corporate customers
    • Correspondence to consider only correspondence customers
    • Remit From to consider only remit from customers
  3. In the Status field, select from the following options to see a subset of items in the list. Use the Dispute option to select items in dispute.
    • All (all items)
    • Closed (closed items)
    • Collections (items in collection)
    • Deduction (deduction items)
    • Dispute (items in dispute)
    • Doubtful (items marked as doubtful)
    • Last Conv (items from the last conversation)
    • Open (open items)
    • Past Due (items that are past due)
  4. Select Search.

Select the Search button to search for items for the customer or business unit. If you have saved search preferences, the system limits the list to items that match the search criteria.

Item List page

Use the Item List page to build and view a list of items for a customer that matches your search criteria. You can view all items, open items, items in dispute, items in collections, closed items, past due items, deduction items, last conversation items and doubtful items.

The search results display the disputed Item ID belonging to the Customer ID you have input. You can also see all the details like amount, due date, entry type, reason and so on.

  1. Select the Customer Name link to access the General Information component (CUSTOMER_GENERAL).  The General Information page will display in a new browser window.

  1. Use the General Information page to view and change customer information.
  2. Close the new browser window when finished and return to the Item List page.

  1. On the Item List page, select the View/Update Conversations link.  The View/Update Conversations search page will display in a new browser window.

  1. On the View/Update Conversations search page, enter or select the Business Unit.
  2. Enter or select the Cust ID.
  3. Select Search. The View/Update Conversations page will display.

  1. Use the View/Update Conversations page to add a new conversation for the customer.
  2. Close the new browser window when finished and return to the Item List page.

  1. On the Item List page, select the  Account Overview link.  The Customer Item Inquiry page will display.

  1. Use the Customer Item Inquiry page to view various balances for the customer and access customer profile information, customer trend information, and the customer action list.
  2. Select Cancel to return to the Item List page.

  1. On the Item List page, select Item link to access the View/Update Item Details component (ITEM_MAINTAIN).  The Item Maintenance page will display.

  1. Use the Item Maintenance page to view and update item details and view item activity and accounting entries. You can also access details for the following fields.
    • the sales order
    • invoice
    • contract
    • promotion
  2. Associated with the item in:
    • Order Management
    • Billing, Contracts
    • Promotions Management
  3. Select OK to return to the Item List page.
