Viewing Deposit Information

Purpose:  Use this document as a reference to view AR Customer deposit information, incomplete deposit or payment information, and Group Status, Groups Set to Post and Groups Not Set to Post, using ctcLink.

Audience: Accounts Receivable staff/supervisors.

You must have at least one of these local college managed security roles:

  • ZD AR Inquiry

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

ctcLink Receivables enables you to view the deposit status for a single deposit to find problems associated with a specific deposit or to locate errors in posting.  You can also view the deposit status to balance and review the efficiency of payment processing.

Viewing All Deposits

Navigation: Accounts Receivable > Payments > Review Payments > All Deposits

Receivables enables you to view details about one specific deposit ID, including control totals and status, or scan all deposits, one at a time.

  1. The All Deposits search page displays.
  2. Enter Deposit Unit
  3. Enter Deposit ID.
  4. You can specify Payment Type or leave blank.
  5. Select Search.
  6. The All Deposits page displays.  Use it to check a specific deposit or to scan any or all of your deposits. Notice that this page displays control totals and status information for a single deposit at a time.
  7. Select Return to Search to return to previous page to enter new search criteria if needed.

Viewing Incomplete Deposits

ctcLink enables you to view incomplete deposits and review the in-process payment amounts.  You can also view a list of incomplete deposits entered by an operator or summarize the out-of-balance deposits.  You can review deposits only after these deposits have been made.

Navigation: Accounts Receivable > Payments > Review Payments > Incomplete Deposits

  1. The Incomplete Deposits page displays.
  2. Enter the applicable Business Unit.
  3. Optional to lookup or select the User. Leave blank to populate all values.
  4. Use the Balance Status list to select the status of:
    • In And Out Of Balance Groups (default).
    • In Balance.
    • Out of Balance.
  5. Use the Payment Type menu to select by:
    • Regular Payments Only (default).
    • Credit Card Payments Only.
    • Electronic Payments Only.
  6. Use the Deposit Amount Switch menu to select by:
    • Incomplete (default).
    • Control.
    • Direct Journal.
    • Entered.
    • Incomplete.
    • Posted.
  7. Select Search. The updated Incomplete Deposits page displays.  You can view the payment amount in a deposit that:
    • is still in process
    • summarize out-of-balance deposits (only)
    • or look at the list of incomplete deposits by user
  8.  The Balance column shows the status of deposit balances for the control totals entered on the Totals page.

Use the Incomplete Deposit area to view posted and unposted deposits that are not completely processed.

Viewing Incomplete Payments

ctcLink enables you to view incomplete payments such as:

  • Payments that have not been posted
  • Payments that failed to post
  • Payments that are assigned to the Payment Predictor

You can choose to view one payment, a range of payments, or payments that are assigned to a particular operator.

Navigation: Accounts Receivable > Payments > Review Payments > Incomplete Payments

  1. The Incomplete Payments page displays. Enter the applicable Business Unit. Optional to search by User ID by using the lookup magnifying glass icon.
  2. Use the Date Operand list to modify the date selection. In this example, retain the default less than or equal to operand. Optional to search by a specific Accounting Date using the calendar icon.
  3. Use the Applied Post Status list to indicate which payments will be included in the search. Options to select from are:
    • All Applied Payments.
    • Applied Pymnts Not Set To Post.
    • Applied Pymnts Set To Post.
  4. Use the Status drop down arrow to search by:
    • Payment Status.
    • Posting Action.
    • Posting Status.
  5. Select the Search button to populate results below.
  6. The updated Incomplete Payments page displays. Select on a Payment ID link to go to All Payments page for that payment ID and review details.

Use the Incomplete Payment Information area to review payments that have not been posted based on your search criteria.

  1. The All Payments page displays in a new window. Review it and close the window or return to search after you're done.

Viewing Group Status

Navigation: Accounts Receivable > Pending Items > Review Items > Pending Items Group Status

  1. On the Group Status page, select a Group Option:
    • All Item Groups.
    • Saved Maintenance Worksheets.
  2. Enter or look up the Group Unit.
  3. Enter or look up the Group ID.
  4. Select the Search button. The Group Status page will redisplay with the search results.  

Use the Group Status page to view control totals, Group Type and Origin ID of the items group or the maintenance worksheet.

Want to view other group IDs? Enter or lookup a different Group ID and re-select the Search button to view.

Viewing Groups Set to Post

Navigation:  Accounts Receivable > Pending Items > Review Items > Groups Set to Post

You view items after the Posting Action has been selected and before the Receivables Update process is run. To view items, you can search on groups that have been marked for Batch Priority, Batch Priority and Standard, or Batch Standard.

Your goal is to view all the groups that are set to post.

  1. The Group Set To Post search page displays.  It may appear with your organization's default business unit and the user ID of the user performing the search. You can override either of these values.  
  2. Use the Post Action field to select a posting action for searching groups.  In this example, the post action runs the Receivables Update process the next time a priority job is scheduled, or the next time a standard batch job is scheduled, depending on which type of scheduling occurs first.
  3. Select Search.
  4. The Groups Set To Post page displays.  Use it to view item groups that will post the next time you run the Receivables Update multi-process job.
  5. Use the Group Amount Switch field to view the groups that were set to post.

Viewing Groups Not Set to Post

Navigation: Accounts Receivable > Pending Items > Review Items > Group Not Set to Post

Use the Groups Not Set To Post page to view groups whose posting action is Do Not Post.

  1. On the Groups Not Set to Post search page, enter or look up the Business Unit.
  2. Select the Posting Status to select a posting status for searching groups. 
  3. Select the Balance Status to select a balance status for searching groups.
  4. Select Search.
  5. Notice that the Post Status value of the group in the video is Not Posted.
  6. You can also view various totals, such as the amounts to be posted.
