Viewing Related Item Status

Purpose:  To view related item status using ctcLink.

Audience:  Accounts Receivable staff

You must have at least one of these local college managed security roles:

  • ZC AR Customer Maintenance
  • ZD AR Inquiry
  • ZZ AR Customer Maintenance

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation: NavBar > Navigator > Accounts Receivable > Customer Accounts > Item Information > Item List

  1. On the Item List tab, enter or select Customer.
  2. Select the Level to specify the items to include for the customer group to which your customer belongs.
  3. Select Search.

  1. Use the Item List tab to view a list of open items for the customer.
  2. Select the desired Item link.  The Item Maintenance page will display.

  1. Use the Detail 1 tab to change discount, payment, and draft options for an item. This page enables you to put an item in dispute or collections, mark an item as a deduction, and assign item owners.

  1. Select the Detail 2 tab.
  2. Use the Detail 2 page to update item references. This page also enables you to update contact, shipping, and product information.

  1. Select the Detail 3 tab.
  2. Use the Detail 3 page to update user-defined fields.

  1. Select the Item Activity tab.
  2. Use the Item Activity page to review all activity records for an item.

  1. Select the Item Accounting Entries tab.
  2. Use the Accounting Information tab to view the accounting entries for each item activity.

  1. Select the Line Information tab.
  2. The Line Information tab displays the detailed information for each accounting line. In this case, it shows the item amount and currency for the given item.

  1. Select the Document tab.
  2. The Document tab displays the document sequencing information.

  1. Select the Item Audit History tab.
  2. Use the Item Audit History tab to view maintenance changes that have been performed on items. This page displays the changed field values and the source of change for the items. 
  3. The User ID field displays the ID of the individual who made the change.

  1. You have successfully viewed an audit record of the selected item.
  2. Process complete.
