Viewing Item Activity Summary, From a Group, or From a Payment

Purpose:  To view a summary of item activity, view item activity from a group, and view item activity from a payment using ctcLink.

Audience:  Accounts Receivable staff/supervisors.

You must have at least one of these local college managed security roles:

  • ZC AR Customer Maintenance
  • ZD AR Inquiry
  • ZZ AR Customer Maintenance

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

ctcLink enables you to view a single-line summary of each item-related activity. Each time you perform an action on an item, the Receivables Update process updates the Item Activity table. These actions can be transferring the item to another customer, applying a payment to the item, or unposting it. The system sorts the item activities by:

  • Business Unit
  • Customer ID
  • Accounting date
  • Entry type
Viewing Item Activity Summary

Navigation: Accounts Receivable > Customer Accounts > Item Information > Item Activity Summary

  1. On the Item Activity Summary search page, enter or look up the Business Unit.  
  2. Enter or look up the Customer ID.
  3. Enter or look up the Item ID field.
  4. Select Search. The Item Activity Summary page will display.
  5. Use the Item Activity Summary page to view a single-line summary of each item-related activity.

Viewing Item Activity From a Payment

ctcLink Receivables enables you to review payment entries for items posted against payments.

Viewing Item Activity From a Payment

Navigation:  Accounts Receivable > Customer Accounts > Item Information > Item Activity From a Payment

You will now be on the Item Activity From a Payment page.  Please note that not all search steps are mandatory, but the more information you can include, the better your search results will be.

  1. The Item Activity From a Payment search page displays.
  2. Select Deposit Unit.  
  3. Select Deposit ID. This is an optional field.
  4. Select Business Unit
  5. Select Customer ID. This is an optional field.
  6. Select Search.
  7. The Item Activity From a Payment page displays.  Use it to review all items paid by a single payment.
  8. Use the Display Amount Switch field to select Payment Amount, Full Base Amount or Full Entry Amount from the drop-down menu.
  9. Notice that both the displayed item activities have the same Payment ID.

Viewing Item Activity From a Group

ctcLink Receivables enables you to view the activity for all items in a selected group.

Navigation:  Accounts Receivable > Customer Accounts > Item Information > Item Activity From a Group

  1. The Item Activity From a Group search page displays.
  2. Select Group Unit.
  3. Select Group ID.
  4. Select Business Unit.
  5. Select Search.
  6. The Item Activity From A Group page displays.  Use it to view activity for all items in a group.
  7. Select View All.
  8. The Item Activities grid displays the activity for available items in the group unit.
