Viewing Outstanding Customer Payments and Items

Purpose:  To view outstanding AR customer payments, items, and aging using ctcLink.

Audience:  Finance/Accounts Receivables staff

You must have at least one of these local college managed security roles:

  • ZC AR Customer Maintenance
  • ZD AR Inquiry
  • ZZ AR Customer Maintenance

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

ctcLink Receivables enables you to view payment (or item) information to determine which checks you have received, how they have been identified, and how far they have progressed in the processing cycle. You review customer account information to determine which:

  • maintenance,
  • billing,
  • finance charge, or
  • transfer items are not yet posted.

This helps you to efficiently manage the collection of receivables.

Viewing Outstanding Customer Payments

Navigation: Accounts Receivable > Customer Accounts > Customer Information > Outstanding Payments

  1. The Outstanding Customer Payments search page displays..
  2. Enter or lookup the Customer ID.
  3. Use the Payment State list to select the status of payments.  In this case, you will be viewing all outstanding payments.
  4. Select the Search button.
  5. The Outstanding Payments displays below. Use it to view payments received, their identification, and their status in the processing cycle.  You can also view the number of outstanding payments and the total payment amount if the items are associated with multiple business units.
  6. Under the More Info column, select the outstanding payments 'Check Number or Payment ID' button.

  1. The Payment Status search page displays. Select the Search button.
  2. The All Payments page displays.  Use it to view the status of a specific payment.

Viewing Outstanding Customer Items

Navigation:  Accounts Receivable > Customer Accounts > Customer Information > Customer Pending Items

  1. The Outstanding Customer Items page displays. The SetID default to WACTC for Customers are Global.
  2. Enter or lookup your local Business Unit.
  3. Enter or lookup the Customer.
  4. Select the Search button.
  5. The Outstanding Customer Items page displays.  Use it to view information about all pending items.
  6. Section complete.

Various links available to drill down to amounts Balance, Past Due, Last Posted Amount/Item or Add a Conversation.

Viewing Customer Aging

Use the Customer Aging page to view or update aged accounts for a selected customer. Aging accounts receivable is the process of updating the age of customers' outstanding items, based on the item accounting date. In order to properly manage accounts receivable and cash flow, you should age the items at predefined intervals.

An institution may age its receivables on a daily, bi-weekly, or weekly basis. Once receivables are aged, dunning letters and statements can be sent and analysis, planning, and collection work can be performed.

Navigation: Accounts Receivables > Customer Accounts > Customer Information > Customer Aging

  1. On the Customer Aging page, enter or select the Unit.
  2. Enter or look up the Customer.
  3. Select the Level to include items for the customer group to which your customer belongs.
  4. Select Search.
  5. The Aged Date field displays the system date from the beginning of the aging run. 
  6. The page displays New Balance if the customer's balance has changed since it was last aged. This indicates that you may want to rerun the Aging process.
  7. Select the Update Aging icon to age the customer's items during the next run of the Aging process.  
  8. The monetary amounts in the Customer Balances group box appear in either the base currency or the display currency for the business unit. To change from the base currency to the display currency, select the Use an AR Display Currency field for the business unit on the Display Currency Options page.
  9. The High Balance and High Past Due fields show the highest balance and the highest past due amount since update aging was last run if applicable.
  10. The Customer Aging group box has one line for each aging category defined on the Aging page. 
  11. Section complete.
