9.2 Assigning Work Schedule to a Group of Time Reporters

Purpose:  Use this document as a reference for changing work schedule for a group of employees for summer within ctcLink.

Audience:  Time & Labor Administrators, Core HR Administrators, Payroll Administrators.

Time & Labor Administrators should run query to verify the employee work schedules that need updating to the new summer schedule.

Run query QHC_TL_EMPL_WORK_SCHEDULE to identify which employee group needs schedule updated for summer schedule.  

Use this process to update any employee schedule group as needed.

This process is used mainly for groups of employees not individuals.

Assign Schedule to Group

Navigation:  NavBar > Navigator > Time and Labor > Enroll Time Reporters > Assign Schedule to Group

  1. The Assign Schedule to Group search page displays.
  2. Select the Add a New Value tab. (This step is strictly for the first run: after that you may use the new run control).
  3. Create a Run Control (something unique and easy to remember).
  4. Select the Add button.

  2. Enter the Group to update.
  3. Enter the new Schedule ID being updated.
  4. Enter the Effective Date of update. NOTE:  Effective Date should be the FIRST WORK DAY of the week.
  5. Select the lookup icon to review the available Time Reporter Group or enter if known.

  1. The Look Up Time Reporter Group pagelet displays.
  2. Select the applicable Time Reporter Group from the list.

  2. Select the Save button.
  3. Select Run to activate the process request.

  1. The Process Scheduler Request page displays.
  2. Select the OK button.

  2. Make note of the Process Instance number.
  3. Select the Process Monitor link to view the progress of the request.

  2. Select Refresh until the Run Status changes to Success and the Distribution Status changes to Posted.
  3. Select the Go back to Assign Schedule to Group link.

  2. Open a new window and run query QHC_TL_EMPL_WORK_SCHEDULE to validate changes have been completed.
  3. Return to Assign Schedule to Group page.
  4. Select the Report Manager link.

  2. Select the TL_SCH_ASSIG report link.

  2. Check that the Run Status is listed as Success.

Validate Results

NOTE: You should ALWAYS VALIDATE your data at the end of this process.

Select a few individuals from the results list to validate in Time and Labor.

Navigation:  NavBar > Navigator > Time and Labor > Enroll Time Reporters > Assign Work Schedule

  1. The Assign Work Schedule page displays.
  2. Enter an Empl ID from query results.
  3. Select the Search button.

  2. Verify schedule matches the newly assigned work schedule.
