CS 9.2 - SACR Security: Enrollment Security

Purpose:  Use this document as a reference for applying Enrollment security in ctcLink.

Audience:  Local Security Administrators

You must have the ZZ Local Security Admin or ZZ Local SACR Security Admin role for this navigation.  For more information about these two roles, please refer to the CS 9.2 All 'ZZ' Security Roles (Processor) QRG.

A user must have a User Profile established in the Campus Solutions pillar, as well as the SACR Security Basic Requirements defined for their User ID so that Enrollment Security can be established for them.

Enrollment security is required for all staff engaged in enrollment activities and transactions. At the time of configuring security for an individual user, colleges may choose how much access to grant that user in enrollment activities.

The college CS Security roles that will require Enrollment Security to be assigned are:

The institution that the enrollment security applies to is defined on the SACR User Defaults page.  For multi-campus districts that intend to grant access to district-level employee ability to enroll students at multiple campuses, the user must reset their default institution (e.g., WA062, WA063, WA064) to the institution for which they want to manage the student's enrollment.

Navigation:  Main Menu> Set Up SACR> Security> Secure Student Administration> User ID> Enrollment Security

  1. Enter User ID to search for a user. (Must know the User ID prior to entry as there is no name search)
  2. Click Search.

  1. When Enrollment Access IDs were established, a Global set of IDs were created to serve the college registration staff's needs. On the Enrollment Security page, click the Look Up (spyglass) icon for the Enrollment Access ID field and select the desired level of Enrollment Access. The following are the options available:
RALL = Registration All Access
  •  No time limitations for making Enrollment Changes, Drops, Grade Changes, Grade Basis Changes, Unit Changes, Wait List Changes, Repeat Coding, Requirement Designation, Optional Changes, or Instructor Choice Changes.  
  • This level of access enables the ability to perform all General and Class overrides.

REG1 = Basic Registration Access
  • No time limitations for making enrollment changes or drops.
  • Limits Grade Basis Change, Unit Changes to the end of the term.
  • Limits Wait for List Changes to the end of the first week of the term.
  • No Access to Grade Add or Change, Repeat Coding, Requirement Designation, Optional Changes, or Instructor Choice Changes.
  • This level of access enables the ability to perform all General Overrides, except Career changes (CNED/UGRD), and all Class Overrides, except Class Links.

REG2 = Registration Access without the Ability to Override Class Unit
  • No time limitations for making enrollment changes or drops.
  • Limits Grade Basis Change to the end of the term.
  • Limits Wait for List Changes to the end of the first week of the term.
  • No Access to Unit Changes, Grade Adds, Grade Changes, Repeat Coding, Requirement Designation, Optional Changes, or Instructor Choice Changes.
  • This level of access enables the ability to perform all General Overrides, except Career changes (CNED/UGRD), and all Class Overrides, except Class Links, Class Units, and Requirement Designation.

REG3 = Registration Access with the Ability to Assign Repeat Coding
  • No time limitations for assigning repeat codes.
  • No time limitations for making enrollment changes or drops.
  • Limits Grade Basis Change to the end of the term.
  • Limits Wait for List Changes to the end of the first week of the term.
  • Limits Unit Changes to the end of the term.
  • No Access to Grade Adds, Grade Changes, Requirement Designation, Optional Changes, or Instructor Choice Changes.
  • This level of access enables the ability to perform all  General Overrides, except Career changes (CNED/UGRD) and Class Links.

RLIM = Limited ENRL Access
  • The user can perform enrollment transactions and enrollment with permissions until the end of the term.
  • The user will not be able to perform drop transactions or grade changes.
  • They cannot change the student's unit/ credit load and assign a repeat code.
  • This level of access does not allow General Overrides.

STUD = Student
  • The student can enroll in self-service until the End of Add date.
  • The student can enroll with permission until the Enroll with Permission date.
  • The student can drop their class(es) until the End of the Drop Date.
  • The student can add to a waitlist until the End of Add date. If this option is set up, changing instructors for a class is available until the End of Add date.
  • This level of access enables Wait List Okay General Override.

The STUD Enrollment Access ID should not be manually assigned to students or staff members.

  1. In the Default Override section, identify any additional override abilities to be granted to the user by checking the appropriate boxes to:
    • Override Closed Classes
    • Override Unit Load
    • Override Class Permissions
    • Override Requisites
    • Override Time Conflicts

Also, in the last check box, grant the ability to Okay Wait for List by checking the box.

  1. When an entry is complete, click Save.
  2. Click Return to Search.

This QRG only explains 3 of the 5 Employment Access IDs. Can the RLIM - Limited Enrollment Access and STUD Student options be explained?
