9.2 Completion of Incomplete Coursework

Purpose: Use this document as a reference for how to address the completion of incomplete coursework in ctcLink.

Audience: Campus Community staff

Completion of Incomplete Coursework

Navigation:  NavBar > Navigator > Campus Community > Communications > Run 3C Engine

Run the 3C Engine process for date greater than class end date, where an enrollment request has been processed for a grade change to a grade not equal to incomplete.

  1. The 3C Engine run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

  2. Select the Population Selection checkbox.  Please wait a second while the page re-displays.
  3. Enter Academic Institution.
  4. Enter Administrative Function.
  5. Enter Event ID.
  6. Select Selection Tool = "PS Query".
  7. Select Query Name = "CTC_SR_INCOMPLETE_GRADE_CHANGE".
  8. Select Edit Prompts.

  1. The Query Prompts window displays.
  2. Enter Institution.
  3. Enter Career.
  4. Enter Term.
  5. Select OK.

  2. Select Run.  Refer to the Process Scheduling QRG for instructions.

Run the Communication Generation Process

Navigation:  NavBar > Navigator > Campus Community > Communications > Communication Generation

  1. The Communication Generation run control ID search page displays.
  2. Select the Add a New Value tab.
  3. Enter Run Control ID.
  4. Select Add.

  1. The Selection Parameters tab displays.
  2. Select ID Selection = "Population Selection".  Please wait a moment while the page re-displays.
  3. Select Selection Tool = "PS Query".
  4. Select Query Name = "CTC_SR_POPSEL_COMMGEN".
  5. Select Edit Prompts.

  1. The Query Prompts window displays.
  2. Enter Letter = "R50".
  3. Select OK.

  2. In the Communication Method Usage section, select Method = "E-Mail".
  3. Select the Process Parameters tab.

  2. Select Address = "Student Email".
  3. Select Address Name = "Full Name-Pri,Prf-Leg".
  4. Select Salutation = "First Name Only-Pri, Prf".
  5. Select Extra Name = "Preferred Name".
  6. Select Org Recipient = "All Cntc, All Dept, All Loc".
  7. Select Contact Name = "Preferred Name".
  8. Select the Email Parameters tab.

  2. Enter From.
  3. Enter Subject.
  4. Select Run.  Refer to the Process Scheduling QRG for instructions.

View Communication Pages

Verify Communication Letter Data

Navigation:  NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Letter Data

Mail which are sent can be viewed from communication pages.

  1. The Communication Letter Data search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.

Verify Mail Content

Navigation:  NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Summary

Verify the mail content which has sent to student.

  1. The Communication Summary search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.

  2. Select Search.  Please wait a moment while the page re-displays.
  3. Select View to take a look inside a communication.

  1. The Communication Detail 1 tab displays in a new window.
  2. Select View Generated Communication.

  2. Select View.

  1. The communication opens in yet another window.
  2. Close the three newly-opened windows.

No Email ID Verification

Navigation:  NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Detail

Communication generation will go to unsuccessful state if students/instructors doe not have email ID.

  1. The Communication Detail search page displays.
  2. Enter Search Criteria to identify your student.
  3. Select Search.

  2. Unsuccessful Outcome check box  in Communication Outcome area will be selected if the student/instructor does not  have a valid email ID.
