9.2 Completion of Incomplete Coursework
Purpose: Use this document as a reference for how to address the completion of incomplete coursework in ctcLink.
Audience: Campus Community staff
Completion of Incomplete Coursework
Navigation: NavBar > Navigator > Campus Community > Communications > Run 3C Engine
Run the 3C Engine process for date greater than class end date, where an enrollment request has been processed for a grade change to a grade not equal to incomplete.
- The 3C Engine run control ID search page displays.
- Select the Add a New Value tab.
- Enter Run Control ID.
- Select Add.

- The 3C Engine Parameters tab displays.
- Select the Population Selection checkbox. Please wait a second while the page re-displays.
- Enter Academic Institution.
- Enter Administrative Function.
- Enter Event ID.
- Select Selection Tool = "PS Query".
- Select Query Name = "CTC_SR_INCOMPLETE_GRADE_CHANGE".
- Select Edit Prompts.

- The Query Prompts window displays.
- Enter Institution.
- Enter Career.
- Enter Term.
- Select OK.

- The Query Prompts window disappears.
- Select Run. Refer to the Process Scheduling QRG for instructions.

Run the Communication Generation Process
Navigation: NavBar > Navigator > Campus Community > Communications > Communication Generation
- The Communication Generation run control ID search page displays.
- Select the Add a New Value tab.
- Enter Run Control ID.
- Select Add.

- The Selection Parameters tab displays.
- Select ID Selection = "Population Selection". Please wait a moment while the page re-displays.
- Select Selection Tool = "PS Query".
- Select Query Name = "CTC_SR_POPSEL_COMMGEN".
- Select Edit Prompts.

- The Query Prompts window displays.
- Enter Letter = "R50".
- Select OK.

- The Query Prompts window disappears.
- In the Communication Method Usage section, select Method = "E-Mail".
- Select the Process Parameters tab.

- The Process Parameters tab displays.
- Select Address = "Student Email".
- Select Address Name = "Full Name-Pri,Prf-Leg".
- Select Salutation = "First Name Only-Pri, Prf".
- Select Extra Name = "Preferred Name".
- Select Org Recipient = "All Cntc, All Dept, All Loc".
- Select Contact Name = "Preferred Name".
- Select the Email Parameters tab.

- The Email Parameters tab displays.
- Enter From.
- Enter Subject.
- Select Run. Refer to the Process Scheduling QRG for instructions.

View Communication Pages
Verify Communication Letter Data
Navigation: NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Letter Data
Mail which are sent can be viewed from communication pages.
- The Communication Letter Data search page displays.
- Enter Search Criteria to identify your student.
- Select Search.

- The Communication Letter Data page displays.
- Review/confirm its contents.

Verify Mail Content
Navigation: NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Summary
Verify the mail content which has sent to student.
- The Communication Summary search page displays.
- Enter Search Criteria to identify your student.
- Select Search.

- The Communication Summary tab displays.
- Select Search. Please wait a moment while the page re-displays.
- Select View to take a look inside a communication.

- The Communication Detail 1 tab displays in a new window.
- Select View Generated Communication.

- The View Communication page displays in a new window.
- Select View.

- The communication opens in yet another window.
- Close the three newly-opened windows.
No Email ID Verification
Navigation: NavBar > Navigator > Campus Community > Communications > Person Communications > Communication Detail
Communication generation will go to unsuccessful state if students/instructors doe not have email ID.
- The Communication Detail search page displays.
- Enter Search Criteria to identify your student.
- Select Search.

- The Communication Detail 1 tab displays.
- Unsuccessful Outcome check box in Communication Outcome area will be selected if the student/instructor does not have a valid email ID.

- Process complete.
