9.2 Create a Fluid Advising Note through the Advisor Homepage

Purpose:  To create a fluid advising note in the advisor homepage using ctcLink.

Audience:  Campus Solutions Administrator.

User must have Note Category Access.

Create a Fluid Advising Note through the Advisor Homepage

My Advisees

To create a note for one of your existing advisees, navigate to:

Navigation:  Advisor Homepage > My Advisees

The My Advisees page displays.

1. On the My Advisees page, select the Note symbol next to an advisee.

  1. Enter note and save.

Any Student

To create a note for any student, navigate to:

Navigation:  Advisor Homepage > My Advising Notes

The My Advising Notes page displays.

  1. Select the View data for other students button.  The View data for other students pagelet will display.

Note: if the user has any existing notes for other students, then the View data for other students button is hidden under the arrow drop down.  When a user adds their first advising note, there will be a green button in the top right corner that says “View data for other students).

  1. From the View data for other students, enter a Student ID.
  2. Select the Search button.  The Advising Notes page will display.

  1. On the Advising Notes page, select the Create a Note button on the right side of the page.  The Advising Notes page will display.
  1. From the Advising Notes page, select an Institution, if applicable.
  2. Select a Category from the drop-down menu.
  3. Select a Subcategory from the drop-down menu.
  4. Enter the Subject for the note.  
  5. Verify the Advisee Access field is in the correct position.  Switch to “yes” if the student should be able to view the note.
  6. Verify the Assigned To field.  Your ID will be the default.  Enter a different ID to assign to someone else.
  7. Select the Add Note Item button.  The Add a New Note Item pagelet will display.
  1. From the Add a New Note Item pagelet, type a message.
  2. Select the Apply button.  The Advising Notes page will redisplay.

  1. Select the Submit button.  A message will display asking if you are sure you want to continue.
  2. Select Yes to continue.
  1. To send a notification to the student and the person who the note is assigned to:
  2. Select the Notify button. The Notify pagelet will display.
  1. From the Notify pagelet, select the checkbox next to the student name.
  2. Select the checkbox next to the Assigned To value, if applicable.
  3. Select the Send button.  A message will display confirming you want to continue.
  4. Select Yes to continue.  The Advising Notes page will redisplay.

  1. The process to create an advising note through the Advisor Homepage is now complete.
