Reducing Undisbursing Aid

Purpose: Use this document as a reference for how to Reduce and Un-disburse Aid in ctcLink.

Audience: FA  Technician/Counselor.

You must have at least one of these local college managed security roles:

  • ZD FA Award Processing
  • ZD FA Director
  • ZZ FA Award Processing
  • ZZ FA Award Processor

Reducing Undisbursing Aid

Reducing Aid

Navigation:  Financial Aid > Awards > Award Processing > Assign Awards to a Student

  1. The Assign Awards to a Student search page displays.
    1. Enter the Student ID,
    2. Academic Institution, and
    3. Aid Year
  2. Select Search.  The Assign Awards to a Student page will display.
  3. From the Assign Awards to a Student page choose the Action letter/code based on the status of the award: B = Offer/Accept  or  O = Offer
  4. Under the Offered column enter the reduced award dollar amount.  Tab out of the field.  The Award Disbursement/Split page opens.
  5.  Select the Custom Split checkbox.
  6. Enter the adjusted amounts for the award terms in the Offered column then select OK.
  7. The Student Aid Package tab will display.  The Accepted field will automatically populate with the reduced dollar amount.
  8. Select Validate and then Post.

Tip!  Review the awards in the Disbursement link after Validating and before Posting.

  1. The process to reduce aid is now complete.

Un-disburse Reduced Aid

You must have at least one of these local college managed security roles:

  • ZD FA Director
  • ZD FA Disbursements
  • ZZ FA Disbursements
  • ZZ FA Funds Manager

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  Financial Aid > Disbursement > Disburse Aid

  1. The Disburse Aid search page displays.
  2. Enter the:
    1. Student ID,
    2. Academic Institution, and
    3. Aid Year
  3. Select Search.  The Disburse Aid page will display.
  4. From the Disburse Aid page select the Authorization button for the desired Item Type.
  5. The Disbursement button will highlight; select it to complete the disbursement process.
  1. View the results on the View Customer Account page.
  2. The process to un-disburse reduced aid is now complete.

View Customer Account

You must have at least one of these local college managed security roles:

  • ZC SF Running Start
  • ZD SF Customer Accounts
  • ZD SF Running Start
  • ZZ SF Customer Accounts
  • ZZ SF Running Start

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Navigation:  Student Financials > View Customer Accounts

  1. Go to the term in which the aid is newly disbursed and check to see how the reduced aid now credits the account.

You will need to follow up with Student Financials if there is a credit balance due from the student.  The Student Financials team will need to have the amount due on the Bank Mobile Refund line moved off onto a FA Refund Adjustment line.  This is called the FARP/FARC "Financial Aid Revision Payment/Financial Aid Revision Charge" process.
