Viewing the Grade Scheme Table

Purpose: Use this document as a reference to view the Grade Scheme Table in ctcLink.
Audience: Records and Enrollment Staff
You must have at least one of these local college-managed security roles:
- ZD SACR Academ Struct Config
- ZD SACR Found Tbl Config Inq

Overview
The Grading Scheme Table defines the grading rules used in PeopleSoft Campus Solutions. A grading scheme is a grouping of grade bases, and each grade basis contains individual grades and rules for how those grades are handled.
A grading scheme is assigned to each academic career, such as Academic or Continuing Education. PeopleSoft uses the academic career to determine the appropriate grading scheme and make its grade bases and grades available for individual classes.
Edits and additions to the Grading Scheme Table may significantly impact financial aid processing, official transcripts, repeat processing, enrollment requirement groups, and academic advisement reports. Access to the page used in this QRG is limited and is assigned by the local ctcLink security administrator. Submit a CS Support ticket for changes to the Grade Scheme Table.

Set Up SACR > Foundation Tables > Academic Structure > Grading Scheme Table
Grade Scheme
- The Grading Scheme Table search page displays. Use the default Find an Existing Value page to search for the desired Grading Scheme.
- Enter SetID.
- Enter the Grading Scheme.
- Select Search.
- The Grading Scheme Table page displays. The top section identifies the overall grading scheme.
- SetID – Identifies the SetID that owns the grading scheme.
- Grading Scheme – Identifies the grading scheme being defined.
- Effective Date – Indicates when the grading scheme becomes effective.
- Status – Indicates whether the grading scheme is Active or Inactive. An inactive scheme is generally one the institution no longer uses.
- Description – Provides the full name or description of the grading scheme.
- Short Desc – Provides an abbreviated description.
Grade Basis
The Grade Basis section defines the different grading methods available within the grading scheme, such as graded, pass/no pass, audit, or repeat-related grading bases.
- In the Grade Basis section, navigate to the desired Grade Basis.
- The arrows at the top-right of the screen will move through the individual rows one at a time.
- Key fields include:
- Grade Basis – Identifies the grading basis being defined.
- Formal Description – Provides the full description of the grade basis.
- Grade Basis Convert – Allows the grade basis to use grades defined for another grade basis instead of maintaining its own grade inputs.
- Grade Basis Choice Default – If Elective Grade Basis is selected, identifies the default grade basis used during enrollment. Students may select another available grade basis during enrollment when permitted.
- Default AA What If Grade – Identifies a default grade that may be used for Academic Advisement what-if processing.
- Include in GPA – Indicates whether the grade basis is included in GPA calculations. Do not select for a Pass grade
- Grade Required – Indicates that a grade is required for transcript-related processing.
- Elective Grade Basis – Indicates that students may select from available grading bases during enrollment.
- Print on Transcript – Determines whether classes using the grade basis appear on the transcript.
- Print Transfer Credit On Transcript – Controls whether transfer work is included when the transcript is built.
- Print Grade Basis Desc – Determines whether the grade basis description appears on the transcript.
- Audit Grade Basis – Identifies the grade basis as being used for audit enrollment.
Grade Input
The Grade Input section defines each valid grade that can be used with the selected grade basis.
- Key fields include:
- Grade Input – Identifies the grade value, such as A, B, P, or W.
- Convert To Grade – Identifies another grade to which the entered grade should be converted when applicable.
- Description/Short Desc – Provides the full and abbreviated descriptions of the grade input.
- Grade Points – Defines the grade points associated with the grade for GPA calculations.
- Complete – Available values are defined on the Complete Grade Flag page.
- Grade Category – Assigns a category to a grade, such as Pass or Transfer Pass, for use with Academic Advisement and other academic rules. The default value is None.
- In Progress Grade – Identifies the grade as an in-progress grade (e.g., incomplete grade).
- Include in GPA – Indicates whether this specific grade is included in GPA calculations. Do not select for a Pass grade
- Earn Credit – Indicates whether the grade allows the student to earn credit for the course.
- Valid Attempt – Indicates whether the grade counts as a valid course attempt.
- Include in Self Service – Determines whether the grade is available for applicable self-service grade selection. This setting does not prevent an active grade from appearing as a Roster Grade for staff or faculty grade entry.
- Repeat Checking Option – Defines how the grade is handled when PeopleSoft evaluates repeated coursework.
Drop/Withdraw Penalty Grades
The Drop/Withdraw Penalty Grades section identifies grades that may be assigned when a student drops or withdraws after specific academic deadlines.
The section provides fields for Drop with Penalty, Drop with Greater Penalty, Withdraw with Penalty, and Withdraw with Greater Penalty. These values allow the institution to assign the appropriate grade with different drop or withdrawal penalty levels
