9.2 Comments - Comment Category Table and Comment 3C Groups

Purpose:  Use this document as a reference on how to create a comment category related to waiving the V1 Verification requirements in ctcLink.

Audience:  Financial Aid Staff

Colleges who already have a DCL comment from the 21/22 AY can add a new effective dated row and update the description to make the comment ‘generic’ removing reference to any specific Dear Colleague Letter. This step includes making changes to the Description and Short Description.

The Event Definition that is set up after this step can be customized to reference the specific DCL for the applicable award year.

You must have at least one of these local college managed security roles:

  • ZC CC 3Cs Config
  • ZD CC 3Cs Config
  • ZZ CC 3Cs Config

If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.

Comment Category Table

 Navigation: Nav Bar > Navigator > Campus Community > Comments > Set Up Comments > Comment Category Table

  1. The Comment Category Table search criteria page displays.
  2. Select the Add a New Value tab.
  3. Enter the Academic Institution - in this example, WA100 is used.
  4. Enter the Comment Category "DCL" for Dear Colleague Letter
  5. Select the Add button.

  1. The Comment Categories page displays. Enter the following fields:
    • Status - Active
    • Effective Date - Input the earliest date the comment can be assigned.
    • Status - The status needs to be set as "Active" for the comment to be able to be assigned.
    • Description - Comment category name; 30 characters max. It is recommend to use the Description "DCL V1 Waived".
    • Short Description - 12 characters max. It is recommended to use the Short Description "GEN-V1W".
    • Administrative Function - Select the Administrative Function FINA.
    • Comments - Categories can be created with pre-populated comments. Anything included in this comment set up box will be auto-populated when the comment is assigned to the record. It is recommended to use the Comment:  "V1 Verification requirements waived per Dear Colleague Letter".
    • Changes Allowed - Yes; this selection will allow users to change or append the comment if selected.
  2. Select the Save button.
  3. Process complete.

Comment 3C Groups

You must have at least one of these local college managed security roles:

Navigation: Nav Bar > Navigator > Campus Community > Comments > Set Up Comments > Comment 3C Groups

  1. The Comment 3C Group search page displays.
  2. Enter the Academic Institution.
  3. Enter the Comment Category DCL.
  4. Select Search.

  3. Enter these groups into the Group fields:
    • FASU
    • FAVO
    • FAVU
  4. Select Save.
  5. Process complete.
