Generating Batch Communications (Financial Aid)
Purpose: Use this document as a reference for how to generate batch communications in ctcLink.
Audience: FA Counselor/Technician.
You must have at least one of these local college managed security roles:
- ZC CC 3Cs User
- ZD CC 3Cs User
- ZZ CC 3Cs User
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
You also need to set the following SACR Security permissions:
Generate Batch Communications (FA)
Navigation: Campus Community > 3C Engine > Run 3C Engine
- The 3C Engine search page displays.
- Enter a new or use an existing Run Control ID.
- The 3C Engine page displays.
- Select the Population Select check box in the Process 3Cs section.
- Enter the following data in the Event Selection fields:
- In Academic Institution enter the appropriate Institution.
- In Administrative Function enter FINA (or FINT).
- In Event ID enter select appropriate communication (Event IDs are unique to each institution).
- Select the Selection Tool drop-down menu and select PS Query.
- Select the Query Name lookup icon and select the corresponding query for the notification chosen.
- Select the Edit Prompts link.
- The Edit Prompts page displays.
- Enter the following data:
- Institution
- Aid Year
- Letter - Letter Code
Note: Letter Code should correspond with selected Event ID.
- Select the OK button.
- The 3C Engine Parameters tab displays.
- Select the Manage Duplicate Assignment tab.
- In the Duplicate Communication Check group box, select the Match option in the Variable Data drop down menu.
- Select the Run button.
- The Process Scheduler Request page displays.
- Select the OK button.
- Select the Process Monitor link.
- Ensure that the process has achieved Success and Posted on the Process Monitor page.
- You have successfully generated a batch communication.
- Next, you must send the batch communication through the Communication Generation process.

Navigation: Campus Community > Communications > Communication Generation
Selection Parameters
- The Communication Generation search page displays.
- Enter new or use existing Run Control ID.
- The Communication Generation page displays, and defaults to the Selection Parameters tab.
- In ID Selection enter All Person IDs.
- In Letter Code enter or search for the letter code from the previous steps.
- In Communication Method Usage – Method select E-Mail.
Process Parameters
- Select the Process Parameters tab.
- The Process Parameters page displays.
- In Address enter FA Email and Postal Address.
- In Address Name enter FA Student Name.
- In Salutation enter FA Student Name.
- In Extra Name enter FA Student Name.
- In From Date select the desired date.
- In To Date select the current date.
Email Parameters
- Select the Email Parameters tab.
- The Email Parameters tab displays.
- In From enter the desired email address used by the institution.
- In Subject enter a subject line for the email communication.
- In Reply to enter the desired email addressed used by the institution.
- In Sender enter the desired email addressed used by the institution.
- In Bounce to enter the desired email addressed used by the institution.
- Select the Run button.
- The Process Scheduler Request page displays.
- Select SCC_COMMGEN from the Process List
- Select the OK button.
- Ensure that the Process Monitor reads Success and Posted.
