Assigning a Batch of Students to a Payment Plan
Purpose: Use this document as a reference for assigning a batch of students to a payment plan in ctcLink.
Audience: Student Financials staff.
You must have at least one of these local college managed security roles:
- ZD SF Third Party Contracts
- ZZ SF Third Party Contracts
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Prerequisite: This process requires an excel spreadsheet in .CSV format with student ID numbers.
Navigation: Student Financials > Payment Plans > Mass Contract Select
- The Mass Contract Select search page displays.
- If you have run this process or report in the past, select the Find an Existing Value tab to enter an existing Run Control ID and select the Search button. If this is the first time running this process or report, select the Add a New Value tab to create a new Run Control ID and select the Add button.
- NOTE: It is important to note that Run Control IDs cannot be deleted. Do not include spaces in your Run Control. We encourage the Run Control ID to have the same process naming convention but unique to the step; because of this, including your institution code and a short process description in the Run Control ID is recommended--e.g., WA220_ADM_FYR_5 (Admissions Letter, Summer, FYR Admit Type).
- The Mass Contract Select page displays.
- Within the Population Selection section:
- Select External File from the Selection Tool drop-down.
- Select the Upload File button and the File Attachment pop-up opens.
- Select the Choose File button and the File Explorer pop-up opens.
- Search for then choose your file and select the Open button.
- Select the Upload button and the Mass Contract Select page displays.
- Select the Choose File button and the File Explorer pop-up opens.
- Select the File Mapping drop-down and choose TPC_CONTRACT_ASSIGN.
When using an external file, it must be saved to your computer in .CSV (comma‑delimited) format and must include, at a minimum, the EMPLID field.
For additional information, please refer to the Population Selection File Maps QRG.
- Within the Default Values section:
- Enter the Business Unit.
- Enter or search for the Contract Number.
- Note: This should be the contract you are going to be assigning students to.
- Optional: Enter the Reference Nbr.
- Select Contract Status = "Active".
- Select the Run button. Please refer to the Process Schedule Request steps for further instructions.
- Section complete.
The population now resides in a temporary table and requires further processing to be added to a plan. Please refer to the Assign and Recalc steps to complete the process.

- Under the Parameters section, enter or search for the:
- Business Unit.
- Under the Contract Details section, enter or search for the:
- Contract Number From.
- Contract Number To.
- Select the Run button and the Process Scheduler Request page displays.
- Select Payment Plan Batch Assignment checkbox.
- Select the OK button. Please refer to the Process Schedule Request steps for further instructions.
- Process complete.
Be sure to select a few students from your Mass Contract Select to review individually in View Customer Account to ensure students have been loaded properly.
