Project Management Homepage
Purpose: Use this as a reference for instructions how to utilize the Fluid tiles for the Project Management Homepage in ctcLink Peoplesoft.
Audience: Capital Projects Admin/Finance Staff/Supervisors.
You must have at least one of these local college managed security roles:
- ZZ Project Costing Entry-Maint
- ZZ Project Costing Processing
- ZZ Project Costing WorkCenter
If you need assistance with the above security roles, please contact your local college supervisor or IT Admin to request role access.
Using the Project Management Homepage
There is now a home page with some tiles for Project Costing. The homepage is called Project Management. On this page, you may, depending on your security roles, see the following tiles:
- My Projects
- Projects WorkCenter
- Projects Update Wizard
- Budgets Not Finalized
- Expired Projects Exceptions
From the main Project Management home page select the Fluid Tile for the following pages:
Before the steps below will work, you must have User Preferences set up by your Local Security Administrator (LSA).
If your college’s Local Security Administrator (LSA) has not already set up your Project Costing user preferences, they will need to do that before you can set up your My Projects. User preferences need to have the Business Unit and Integration fields completed.
- After your User Preferences are set up, select the My Projects tile.
- Select the Projects List link at the bottom of the page.
- The Projects List popup window displays. Enter or lookup your Business Unit and any other applicable search criteria.
- Select the Search button.
- Mark the Projects checkbox(es) of the projects that you want to add to 'My Projects'.
- Select the Save button.
Note: The My Projects list is limited to 50 projects.
The My Projects page provides a list of the project that are in your My Projects list. From here you can quickly navigate to any of the projects in your My Projects list.
- Select the My Projects tile from the Project Management home page. View the projects in your My Projects list.
The General tab displays basic project information includes project and processing status as well as links to Project General Information pages.
The Details tab displays more detailed information about each project including dates, project type, and links to project activities and resources (team).
The Amounts tab displays information about budget and expense totals and includes links to budget pages.

The Budgets Not Finalized page contains projects from your My Projects list that have budget line(s) that have been entered but not finalized yet.
- Select the Budgets Not Finalized tile from the Projects Management home page.
- The Budget Information tab displays. This page shows a list of subset of projects from your personalized My Projects List of grants or non-grants that have budget lines that have not yet been finalized.
- Optional to finalize multiple projects at once by selecting the check boxes. Selecting the drop down arrow for Actions at the top left of the page, and selecting the Finalize link.
Alternatively, you can select the right arrow button on the far right of a specific line to go directly to that project’s budget page.
- From there, you can finalize the budget lines like you normally would when setting up a new project/budget or doing a budget revision on an existing project.

The Expired Projects Exceptions page shows a list from My Projects List grants or non-grants where the project end dates have passed but the projects have not yet been closed. Closing them will remove them from lookup lists in modules such as Accounts Payable, Travel and Expenses, etc.
- Select the Expired Projects Exceptions tile from the Project Management home page. This shows a list of subset of projects from your personalized My Projects List grants or non-grants where the project end dates have passed but the projects have not yet been closed.
- Optional to close multiple projects at once by selecting the check box on the left side of each applicable project, selecting the drop down arrow for Actions at the top left of the page, and selecting the Update Status link.
- A popup window will appear. Enter the Effective Date, Project Status, and if desired, a Description of why you are closing the projects.
- Select the Done button.
- A new popup will appear letting you know how many projects were updated.
NOTE: At this time, we do not recommend using the Update End Date or Email Notifications options in this tile.
